Prospect for new exhibitors and sponsors utilizing exhibiting prospect database.
Act as primary administrator of our prospect database.
Review new exhibitor applications and verify appropriate fit, requiring additional documentation as needed. Make recommendations on applicant’s entry into show.
Process all exhibitor related invoices insuring payment are allocated correctly working closely with the Accounting Department.
Responsible for a2z content template updates and a2z system management as assigned, assigning of new company numbers on a weekly basis, assist with floor plan management, and record payments daily.
Responsible for sales and fulfillment of conference bag inserts, industry showcases, sponsored email blasts and attendee lists.
Manage the Product Service Description and logo upload process for exhibitors and collect information for the Exhibit Section of DDW Daily News and DDW Mobile Application.
Manage and create Wufoo forms and other various reports for industry team.
Manage CallFire (voice calling service) account.
Assist in maintaining the Exhibitor portion of DDW’s website and approves website advertisements for DDW.org.
Manage the Industry Inbox daily and distribute emails to appropriate personnel.
Assist with Marketing Opportunity artwork collection.
Assist with set up and maintenance of PlanTour site.
Assist exhibits team in floor plan booth audits.
Assist with payment collection calls maintaining a list of customers with estimated payment receipt dates.
Assist with A2z system management as assigned.
Schedule and coordinate industry meetings, update agendas and recaps.
Create and maintain shipping manifest and onsite distribution spreadsheet for DDW.
Maintain exhibitor and sponsorship records utilizing technology to move into a paperless environment.
Monitor email account for DDWâ Administration (as posted on DDW website) daily and distribute emails to appropriate personnel.
Respond to DDW requests for information
Request visa letters for exhibitors as needed
Oversee procurement of supplies and office equipment for DDW.
Provide general office support such as copying, scanning, and creating documents.
Assist with front desk coverage, per AGA policy.
Other duties, consistent with this position, as assigned.
BA with a focus on business/sales/marketing preferred.
1-2 years sales and/or client relationship/management experience preferred.
Exceptional organizational and communication skills and the ability to function effectively in a fast-paced, deadline oriented, high-demand sales environment.
Must be a team player and manage high-pressure situations and multiple tasks simultaneously.
1-2 years experience in exhibit, sponsorship sales and marketing in an association setting a plus.
Highly professional, assertive, possesses a mature and positive attitude especially when dealing with colleagues, customers, vendors and other corporate contacts.
Must have Microsoft Word, Excel, PowerPoint and Outlook experience. Prefer individual with extensive knowledge of Excel in order to prepare forecast, margins and estimated revenue. Ability to use filtering and pivot tables is a must.
