Reports to: Membership and Volunteer Manager
The Volunteer and Committee Coordinator assists the Membership and Volunteer Manager through the provision of administrative support to executive leaders, Committee Chairs and staff related to the work of the Committee on Volunteer Resources, Leadership Development Committee, New Members Committee, and the Regional Affiliates.
Duties and responsibilities include but are not limited to the following:
Maintain an accurate database of committees, taskforces, and liaisons, enter additions and deletions to committee rosters, update contact email lists, and establish and disband Committees and Task Forces as required.
Update the list of Chairs, Vice-Chairs, and Liaison/Representatives and create Board/EC agenda material to support the approval of new Chairs, Vice-Chairs, and Liaison/Representatives.
Liaise with Regional Affiliates after elections to ensure the officers listed on their websites and recorded in the netForum database are current.
Reporting and Analysis
Prepare committee rosters and membership statistics for the annual Proceedings/Yearbook.
Utilize databases to prepare various membership sorts, reports, communications and label requests for CAS mailings.
Provide primary staff support for the development, tabulation and production of the annual Participation Survey.
Maintain volunteer metrics to better understand the life-cycle of volunteerism as well as why some members do not ever volunteer.
General Administrative Support
Provide administrative support to the CAS Regional Affiliates and Special Interest Sections, including coordinating meeting registration services.
Assist Committee Chairs with general administrative duties which including: completion of the annual budget questionnaire, goal setting and quarterly cycle report updates, coordination of participation survey input form and contacting respondents.
Support the recruitment and screening of CAS volunteers using multiple communication methods, including social media, or other innovative approaches, and identify particular volunteer needs.
Coordinate and track volunteer expense reimbursement requests approved by VPs from the volunteer expense reimbursement pool.
Develop methods for recognizing the contributions of our volunteer efforts including the coordination with Committee Chairs of thank-you letters (e-mails) to all outgoing volunteers as they rotate off of Committees.
Assist people who contact CAS to inquire about volunteer opportunities, answering questions about programs, philosophy, expectations, and logistics to enable inquirers to make an informed commitment to participate in CAS activities.
Minimum of three years’ work experience, preferably in an association or non-profit environment.
Familiarity with maintaining and utilizing databases.
Proven ability to maintain organized paperwork, files, and records.
Proficiency in standard computer applications, including Microsoft Office Suite.
Excellent telephone and written communications skills including experience in drafting routine correspondence and responding to inquiries.
