Responsible for hands-on management of the NPGF Scholarship Program and serves as the staff liaison to the scholarship selection committee, staff secretary for NPGF Scholarship Fund Steering Committee and NPGF Full Scholarship Fund Committee.
Duties & Responsibilities:
NPGF Scholarship Program:
Activate online application program on September 15th and begin promoting program in industry publications.
Assist scholarship applicants with completion of their application and other required entry information; verify entry materials received and send reminders on materials still needed monthly.
Prepare and send spreadsheet to Platinum Donor companies of application status and total applications received by February 1.
Deactivate online program at 12:01 a.m., February 16th. Post temporary message of past due date on website.
Prepare master spreadsheet of completed applications received for selection committee and distribute to them by March 15th.
Provide list of applicants received that are being considered to Platinum Donors first week of April.
Setup judges area on website for selection committee by March 15th.
Assist Selection Committee with prescreening of applicants.
Send rejection notification to applicants who submitted incomplete applications by March 15th.
Finalize awards master list and eligibility list for selection committee.
Notify Platinum Donors by May 15th of winners, if they wish to notify winners first.
Start verification process of new winners by May 15th, with due date for receipt August 1st.
Send remaining rejection notifications no later than July 15th.
Prepare and distribute winner’s flyer (Transcripts) for NPGA Reports, website and other industry publications.
Prepare list of 1st payment needed for accounting for current scholarship year, and distribute checks by August 15th.
Complete any revisions needed to website, online program, or scholarship application by August 1st.
Prepare list of 2nd and final payment for accounting, and distribute checks by January 15th.
NPGF Scholarship Fund Steering Committee and Full Committee:
Prepare and distribute annual dues notices in January, follow up as needed.
Prepare and distribute agendas for spring, summer, and winter meetings.
Prepare and distribute meeting minutes for spring, summer, and winter meetings.
Update and distribute committee roster as needed.
Prepare and distribute thank you letters for any donations received.
Mail out solicitation letters for Corporate Partners Program.
Manage receipt and cataloging of all donations and sponsorships.
Update chairs on status of processes.
Prepare and send to industry magazines ad layouts.
Promote benefits of program and membership on committee at conventions and meetings.
Provide assistance and guidance to VP Finance & Administration when needed.
Update scholarship banner and website when needed.
Organize and maintain Scholarship Foundation records and files in accordance with the approved record retention policy.
Position requires a bachelor's degree with three to five years of experience managing a non-profit association scholarship program.
High proficiency working in Excel, Word and internet-based programs.
Excellent interpersonal communication skills with experience interacting with volunteer committee members.
Exceptional organizational and administrative skills.
Must be a self-starter and able to accomplish multiple tasks simultaneously and accept responsibility.
Experience in using an Association Management System.
Ability to maintain high ethical standards of confidentiality at all times.
Ability to travel occasionally.
Additional Salary Information: Salary commensurate based upon experience.
