The Association Services Coordinator supports our dynamic and growing association by providing a wide range of technical, accounting and general administrative support for ETA staff and members.
Responsible for day-to-day office operations including maintaining the database, answering phone and email inquiries, opening mail, and ordering office supplies.
Enter data accurately and in a timely manner for finance, membership, education and credentialing.
Assist with planning and logistics support for small events.
Update member database and produce database reports
Project manager for database upgrades and support issues, including interface with outside IT consultants.
Respond to inbound inquiries from ETA members and event attendees regarding registration, membership information, and education and credentialing programs.
Open and sort incoming mail; log checks
Order office and kitchen supplies and maintain office equipment and general office appearance
Perform other duties as assigned
Responsible for assisting controller with day-to-day accounts payable and receivables processes, as well as other project support to the chief operating officer and to the controller.
Perform daily reconciliation of cash receipts in netFORUM batches; research discrepancies
Respond to vendor, member, and accounting inquiries to research and resolve
Assist with expense reports and monthly reconciliation of credit card expenses
Support the contract approval process; maintain contracts and vendor documents
Provide administrative support for the annual audit process
A four (4) year undergraduate degree with a relevant field of study.
Two (2) years’ experience in an administrative or finance position
Two (2) years of database experience (Abila NetForum preferred). Proficient in Microsoft Office
Excellent oral and written communication and organizational skills are required
Excellent customer service skills for interaction with co-workers and members
Must be detail oriented, self-motivated and directed, able to produce high-quality accurate data
Knowledge of accounting, membership, events, conference database is desirable
Must be able to handle multiple tasks and projects and prioritize work while maintaining a high level of accuracy in a fast-paced environment
Must work well under general supervision and be team oriented
