Summary: The Association Administrative Specialist provides a wide array of administrative support, and coordinates the awards program and association events. The Admin Specialist works closely with the Meeting Planner and Executive Director. The Admin. Specialist also assists with publications and supports the Office Manager with data entry.
Coordinate event planning schedule to assure tasks are being completed.
Facilitate onsite logistics for events and meetings.
Create program schedule & spreadsheets to allocate meeting space for conferences.
Manage speaker agreements and travel arrangements.
Assist with conference and other meeting registrations before and during events.
Assist marketing committee, send notices, take minutes, and help with app.
Monitor social media, send mass communications using data base and other software programs, create notices and announcements.
Assemble meeting packets, makes copies, run errands, sort mail, answer phones.
Data entry for some registrations and financial deposits – minimal.
Assist with proofreading and editing of association publications.
Essential Functions of the Job:
Ability to follow written and oral instructions and concentrate for several hours at a time.
Ability to work in a busy, sometimes deadline oriented office environment.
Ability to lift and carry items up to 40lbs.
Ability to stand for long periods of time – up to 8 hours.
Ability to work with people of all types in all situations and maintain composure.
Ability to drive a car.
Qualifications and Requirements:
Demonstrated proficiency in written communications that are free of typos and grammatical errors.
Demonstrated organizational skills and the ability to work on and move forward several projects within the same time period.
Demonstrated proficiency with all Microsoft Suite programs.
Knowledge of mass communication programs preferred.
Database experience preferred.
Knowledge of social media preferred
High school diploma, AA, or College degree (preferred).
At least 3 years of experience working in an office or similar environment carrying out clerical, communications, and planning, scheduling, and organizational tasks.
