The American Student Dental Association (ASDA) was founded in 1971 and is the largest dental student organization in the United States. With a membership of more than 24,000, ASDA represents 94% of dental students from all 66 dental schools. ASDA’s mission is to protect and advance the rights, interests and welfare of dental students. The association introduces students to lifelong involvement in organized dentistry and provides services, information, education, representation and advocacy. ASDA representatives vote in the ADA House of Delegates, sit on most ADA councils and commissions and comprise one of the most respected student organizations in the nation.
ASDA is located off Michigan Avenue in downtown Chicago, with a staff of 14 and an operating budget of $4.5 million.
The Executive Assistant is responsible for providing administrative support to the Executive Director and the Director of Strategic Initiatives.
Manages and supports the activities of the Employee Engagement Task Force (EETF). This involves scheduling meetings, organizing and tracking initiatives, coordinating initiatives with staff.
Manages and maintains Board materials and documents.
Creates and manages department work plans.
Takes department and staff meeting minutes and prepares written summaries.
Manages department documents on the shared drive.
Manages and reviews website content for department.
Monitors employee timesheets, time allocations and reports variances.
Manages and coordinates all logistics for Executive Committee attendance at district and external meetings.
Oversees association award programs (Distinguished Leader; Rising Leader; Paragon; Delegate of the Year). Call for nominations, manages selection process and oversight of award
Coordinates leadership appointments with external organizations.
Coordinates national leadership recognition process.
Assists with the ASDA Consultant Program.
Assists with ASDA’s participation at ADA Annual Session; scheduling conference calls, taking meeting minutes, tracking and summarizing resolutions.
Manages the activities of the national dental student officer group.
Manages distribution of advocacy promotional materials, such as emails, , newsletters, alerts to Congress, etc.
Coordinates the Legislative Grassroots Network Special Event Grant Program: manages the application process, tracking spending of grants monies.
Serves as the staff liaison to the Council on Professional Issues. Attends Council meetings, prepares agendas and meeting minutes, and coordinates Council activities.
Development of PowerPoint Presentations and Excel spreadsheets.
Respond to emails and phone calls as directed.
Manage schedules and calendars.
Assists with research projects as assigned.
Fulfills other duties as assigned
Three plus years experience in an administrative and/or Executive Assistant capacity. Association experience preferred.
Excellent organizational abilities, ability to manage a number of projects simultaneously.
Strong interpersonal skills, display exemplary customer skills and collaborate effectively with various internal and external stakeholders.
Excellent verbal and written communication skills with strong attention to detail. Good proofreading skills.
Must be able to maintain knowledge on all organizational policies and procedures and stay informed on the activities of the association.
Self-starter, takes initiative.
Proficient in Outlook, Word PowerPoint and Excel. Familiarity with association management software (Association Anywhere) preferred.
