The Water Environment Federation is seeking an Exhibition Operations Coordinator whose primary responsibility is to provide service support for WEFTEC exhibitors. This position is also responsible for administering communications to exhibitors and contractors for WEFTEC; Coordinating exhibitor directories and service manual for WEFTEC; Providing administrative support for WEFTEC and specialty conference exhibition operations and staging; and assisting Specialty Conference Managers as needed.
Provides exhibitor customer service and sales support via phone and email.
Assists the Senior Manager of Exhibition Operations with day-to-day exhibition operations, and development of exhibitor services materials and projects.
Prepares, proofs, and manages routing schedules for exhibitor lists for print and electronic media for WEFTEC and Specialty Conferences.
Maintains and updates WEFTEC exhibitor website, service manual, and toolkit content.
Develops and schedules e-mail blasts for WEFTEC exhibitors.
Responsible for weekly contractor reporting of exhibitor data for WEFTEC and Specialty Conferences.
Responsible for data entry/review of all exhibitor directory and contact change submissions for WEFTEC and Specialty Conferences.
Maintains exhibitor database, paper and electronic files, and manages department report list.
Travels to WEFTEC to assist in exhibition management office, oversees material shipment for onsite office.
Maintains an onsite meeting room schedule, oversees daily operations of meeting room onsite.
Assists with WEFTEC booth and membership audits and data entry of new booth space orders.
Assists with follow up calls to unpaid exhibitors.
Assists with WEFTEC contractor invoice coding and processing, collects contractor order forms for exhibitor service manual.
Bachelor’s degree preferred.
2 years’ conference or exhibition administrative experience or other high-level administrative experience.
Computer proficiency with MSOffice, Personify or similar AMS database, Adobe Acrobat, Episerver, or similar Web Editor/Content Management System, and e-mail preferred.
Deadline and detail oriented with accurate follow-through.
Strong customer service orientation.
Excellent communication, proofing, and editing skills.
Ability to work as part of a team while achieving individual goals.
Ability to travel and work at conference site including weekend work/travel, usually 1 time per year.
This person will work primarily in an office environment using standard office equipment.
