The Director, Meetings and Client Services is responsible for the organization, planning and on-site management of multiple associations’ meetings and special events, including conferences, educational programs, golf outings, and networking events. In addition, the Director will serve as the key account manager/Executive Director for one local client association, and take a lead role in the development of our growing association management company.
Bachelor’s Degree in a related area and 5+ years experience in association/meeting management, including site selection, contract and vendor negotiation for local and national meetings and events. CMP and/or CAE preferred. Superior communications, organizational and leadership skills are necessary, as well as the ability to manage multiple projects and deadlines. Candidate should be highly proficient in Microsoft Office, and comfortable working with web-based events management and database systems. Extensive local (Chicago area) travel is required; as well as limited national travel. The Director, Meetings and Client Services will at all times represent WMR and client organizations in a highly professional and appropriate manner.
Client Meetings and Events
Serves as staff liaison to the co-chairs of the event planning committees, and participates in annual event planning and strategy.
Manages all details of event planning, including budgeting and creating and maintaining timelines.
Negotiates all contracts and serves as primary contact with event sites/hotels/food-beverage/and audio visual vendors.
Supervises the registration process.
Coordinates exhibitors/exhibit hall (if applicable).
Under the direction of the committee chairs, facilitates the event sponsorship solicitation process and conference marketing.
With members of the event committee, facilitates communications with speakers.
On-site event management, including coordination of staff and volunteers.
Coordinates post-conference evaluation process.
Manages other client meeting duties, including board meetings, as requested.
Along with client treasurers, prepares and monitors budgets.
Manages other program duties as required.
Responsible for contract negotiation for all other clients at the request of client leads.
Offers advice and strategic guidance to clients considering new ways of managing their educational programming and special events.
Key Account Manager/Executive Director
Serves as key account manager/Executive Director one client association.
Coordinates and attends local board meetings and manages relationships with the local board members.
Works with client leaders to produce educational meetings, the annual meeting, golfouting and other meetings and special events per the scope of services D. Staff liaison to chapter committees such as sponsorship, scholarship, etc.
Along with client treasurer, prepares and monitors annual budget.
Monitors association memberships.
Manages special events based on the current scope of services.
Attends National organization events based on the current scope of services.
Manages other client duties as required.
WMR General Duties
Successfully handles budgeting duties for overall budgets, client meetings and events as assigned.
Develops successful relationships with other association and association management professionals.
Attends weekly WMR staff meetings; leads these meetings as assigned.
Represents WMR at industry and association events when requested and continually promotes WMR to the public.
Provides consultation and assistance to the President and staff of WMR.
Offers on-site assistance at WMR and client special events and meetings, as requested by the WMR President.
