This position directs meeting events within the Association to include the IACP Annual Conference and Exposition – with 16,000 attendees, 8,000 room nights, 600+ exhibitors with over 200,000 net square feet of exhibit space with 600+ exhibitors and 200+ educational workshop. In addition, this position has oversight for 4 mid-sized meetings ranging from 200-1,000 attendees and numerous other meetings.
Provide leadership to all team members relative to their project portfolios, including advice and direction on all programmatic and budget related issues.
Direct all elements of the IACP Annual Conference and Exposition to include:
Establishing goals for the annual conference that are specific, measurable, achievable, relevant and time-bound.
Overseeing development of the annual conference program and speaker management.
Directing all technical aspects of the general sessions including visual, sound, staging, script writing and keynote speaker management.
Event management for special events
Overseeing conference housing in providing contractor oversight, group management and hotel contracts.
Overseeing the exhibits team to manage public space allocation, floorplan design and management, booth sales and collections.
Cultivate relationships with IACP sponsors and partners and overseeing the sale and fulfillment of annual conference sponsorships.
Collaborating with IACP’s membership team to coordinate registration process and procedures.
Working with IACP’s communications team, developing and implementing a multi-platform marketing plan for the IACP Annual Conference and Exposition that targets a diverse audience of attendees, exhibitors and sponsors.
Manage future city site selection and bidding process for the Annual Conference and Exposition; prepare city recommendations for presentation to the IACP Executive Board.
Ensure IACP’s hotel contracting process is being followed for all hotel contract needs. Build-out a program to educate internal staff of the new policy.
Oversee the preparation of the budget for the IACP Annual Conference and Exposition and assist in the development of other conference/meeting budgets. This includes establishing budgetary goals and objectives for the fiscal year and providing relevant historic budgetary data for comparison purposes.
Monitor revenue and expenses. Project year-end financial data, making ongoing adjustments to reach the planned fiscal goals.
Special projects and other duties as assigned
Bachelors’ degree and experience as a professional meeting planner with minimum 7 years conference management experience required.
Certified Meeting Planner (CMP) preferred. Consideration given to applicants without certification with a minimum 10 years conference management experience.
Conference management experience to include: program, exhibits, sponsorships, marketing, general contractor, audio visual, telecommunications, security, housing, and transportation.
Progressive supervisory and management experience required.
Experience in an association environment successfully working with volunteer committees and membership leaders.
Demonstrated experience in managing multi-million dollar projects and contracts, fundraising (sponsorship) programs, and multifaceted marketing programs for prospective attendees and exhibitors.
Demonstrated experience in developing multi-track educational programs, business meetings, large scale social networking events and planning the use of social media, websites, and mobile applications.
Excellent management skills combined with the ability to effectively interact with all levels of the conference and association profession.
Experience in contract negotiations, budget preparation, and strategic planning.
Energetic, creative, team player with ability to prioritize tasks, multi-task, and handle new, complex assignments in a fast-paced, deadline-driven environment.
Excellent written, research, customer relations and oral/written communications skills required with demonstrated ability to mobilize a team effort to communicate information.
Strong organizational, goal setting, and technological skills.
Ability to establish and maintain effective working relationships with a diverse group of stakeholders.
Ability to maintain and improve the IACP and conference brand; consistently represent IACP brand throughout all designated conferences.
15 – 20% travel is required
