SNMMI is seeking a highly motivated, detail-oriented Administrative Assistant who excels at multi-tasking. The individual in this position will perform general administrative duties, focusing on administrative support for SNMMI’s councils and centers, the technologist section, and the grants and awards program. The individual will report to the Associate Director of Governance.
Essential Duties and Responsibilities
Provides administrative support for the Senior Director of Governance and Member Engagement, Associate Director of Governance and Senior Volunteer Engagement Manager.
Performs general administrative duties such as copying, faxing, shipping and processing of forms (RPA’s).
Coordinates invoices and payment requests.
Serves as a primary point of direct administrative contact for council and center members, SNMMI-TS governance functions and grants and awards program.
Coordinates activities of the 9 councils and 3 centers of excellence, including; scheduling meetings and conference calls for boards, committees and task forces, compiling agendas and meeting materials; drafting minutes, compilation of agendas and meeting materials, follow-up on items discussed during meetings, updating iMIS board roster, elections, awards, and educational programs.
Coordinates specialty workshops (sponsored by the councils or centers) to include; conference calls, minutes, program agenda, speaker invitations, etc.
Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.
Maintains communication platforms for the councils, centers, and grants and awards program, through the website and online community management system.
Performs other duties as assigned.
-2-3 years of program coordination and administrative experience.
-Must have intermediate to advanced skills with basic Office 365 products: Outlook, Word, and Excel.
-Must have experience with conference call platforms such as WebEx or Zoom. SNMMI uses WebEx.
-Must communicate effectively and professionally, both orally and in writing.
-Must have experience with databases and data input.
-Excellent problem-solving ability and an ability to exercise a high level of discretion and independent judgment.
Experience using cloud-based file systems such as SharePoint, Dropbox, Google Drive, Box. SNMMI uses SharePoint.
Experience with webpage editing. SNMMI uses CMS Plus.
Experience with online community management systems. SNMMI uses Higher Logic.
