The Coordinator is responsible for the day-to-day administrative work for two association clients: the Interstitial Cystitis Association (ICA) and ARIAS•U.S. including serving as the primary point of contact for all members and donors.
Individual must possess strong project management, verbal and written skills, be confident interacting with senior-level executives, and be efficient and effective in an environment with numerous tight deadlines on a variety of projects. Additional requirements include the ability to work autonomously; outstanding organizational, communication and collaborative skills; writing and/or editing experience; rigorous attention to detail; and a proven sense of initiative and ownership.
Respond and triage emails & phone calls for ICA’s main accounts
General upkeep of database records within Raiser’s Edge (RE)
Perform monthly reconciliations
Mailings of letters & resource orders
Process lockbox donations (as received)
Process daily BBLO donations
Responding/replying to ICA voicemails and emails
Constituent updates/new members in RE
Create check requests for ICA’s Executive Director
Process weekly credit card donations
Process weekly Wells Fargo donation batches
Process and send out all resource orders
Weekly donation acknowledgement letters
Tribute letters—create and mail out (as needed)
Process monthly direct deposit batch
Process monthly credit card batch
Monthly $500+ donation thank you cards
Pull monthly donation report for operations
Monthly renewal letters
ICA State Fundraising renewals (as needed)
Yearly monthly donor acknowledgement letters
Manage annual membership renewal and recruitment campaigns, including:
Creation of dues renewal orders in netFORUM Pro
Distribution of invoices on a pre-determined schedule
Drop unpaid members on a pre-determined schedule
Maintain accuracy of member databases, including additions, deletions, and changes
Coordinate conference, award program and various event registrations
Management of speakers for various events
Process all check requests for accounts payable for approval by Executive Director
Manage all deposits received via mail
Serve as primary contact for general phone calls and emails including those from membership, corporate partners, and the public
Create and disseminate marketing email messages
Make updates to client websites
Manage production, assembly, and shipment of materials for client events
Provide support for events including pre- and on-site registration assistance. May include some travel and weekend commitments
Provide administrative support for Board and/or ad-hoc committees
Coordinate volunteer schedules for onsite events
Provide administrative support, including assisting with calendar management, scheduling of conference calls, and other projects as needed
Ensure regular scheduling of Operations meetings to include the creation and distribution of Agenda and Action Items.
Complete MCI USA timesheets
Other duties as assigned
Serve on appropriate MCI USA Matrix Teams; and function as an MCI USA Team Member in accordance with MCI’s corporate vision and guiding principles.
Knowledge, Skills and Abilities:
Excellent communication skills (written & oral)
Demonstrated ability to succeed in fast-paced work environment
Demonstrated ability to provide excellent customer service even in difficult situations
Technical proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), general computing skills, and the Internet. Experience with Drupal content management system a plus
Experience with or ability to quickly learn database functions in netFORUM Pro (Avectra) and Blackbaud
Applicant must be extremely organized, diligent, able to multi-task, and operate with only the highest degree of integrity
Experience or interest in membership associations, public charities, accreditation services and events management a plus
