The Office Administrator of EMA is a part-time position (not to exceed 32 hours per week) that performs administrative and light financial duties for the staff at EMA. He or she handles all calls, produces correspondence, board books and orders stationery and office supplies. This position also handles work with our outside accountant on industry research projects and helps with the production of the EMA Family Album and meeting registrations. Assistance with accounting records is needed. Position reports to the CEO.
Answers telephone, handles and forwards all office calls and disseminates incoming mail to all staff.
Produces the correspondence for the president, proofs and edits correspondence, newsletters, brochures, PowerPoint presentations, white papers, reports and other documents produced by the president.
Maintains and prepares board orientation books for new board members.
Sets up meetings and luncheons outside the office.
Maintains the chron file and performs light filing when needed.
Responsible for ordering all office supplies including stationery, coffee and paper goods and plastic.
Responsible for postage meter maintenance and fulfilment of postage.
Maintains monthly staff calendar.
Coordinates maintenance of the office with the building management and waters plants.
Responsible for USPS, UPS and FEDEX shipping and supplies.
Coordinates all staff meetings.
Logs in checks and proofs credit card payments to EMA in computer and log book.
Provides administrative supports for meetings and events.
Provides other administrative support as needed by the staff including annual Christmas Card Mailing
Responsible for preparing, generating and mailing various industry monthly, quarterly and semi-annual questionnaires and report under the guidance of the Outside Accountant.
Works with the Accountant on confidential industry reports.
Handles the printing for industry reports and other projects as directed.
Assists the Outside accountant with accounting and research matters as needed.
Assists the outside accountant with Medical and Dental matters as needed.
The Office Administrator in short is responsible for the operation and maintenance of the EMA corporate office in Alexandria, VA and for light research duties with our external Accountant.
