The Speaker Operations and Production Specialist – Events is responsible for all operational content management and delivery for the learning events at Family Office Exchange (FOX). Reporting to the Director, Learning Events and working in close collaboration with Knowledge Center Content Development Team and other Project Leads, the Speaker Operations and Production Specialist is a critical part of delivering flawlessly executed complex live event programming, including six one to three day multi-track forums, and three-five workshops annually, in addition to support for our advisor councils as needed.
Manage, execute, and improve process for speaker intake, information packet distribution, release management, rosters, and database tracking
Schedule and support all speaker ready/prep calls
Maintain agendas and speaker information on the FOX Website
Build all onsite content collateral including, but not limited to, presentation binder and digital binder
Build all presentation decks
Manage speakers on-site as necessary, including tracking arrivals, and managing speakers in the ballroom as needed.
Manage PowerPoint/AV deliverables on-site as required, including interacting with the AV team, managing versioning and program changes, assisting with microphones and staging.
Manage all speaker registration, travel and invoicing
Manage all agenda changes
Collect, proof, edit, format all speaker biographies, presentations and other materials
Manage all speaker thank you notes and post-event follow up
Create and build all course evaluations
Continually drive process and deliverable improvements
Other duties as assigned, may include additional event support as well
Please note that this is an event operations role, and not a content development role
Five years of prior work experience, with at least one of those years managing content and/or speakers, preferably in an Association or Committee/Board support setting
Intermediate knowledge of PowerPoint, Excel, and MS Word
Prior experience working with a CRM system
Tech savvy, able to intuitively navigate varying technologies
Basic understanding of audio-visual equipment
Experience working in a live event environment
High level of critical thinking and creative problem-solving skills
Strong project management skills
Strong reading comprehension and writing skills
High level of poise, tact, and discretion. Able to interact with C-Level executives.
