Under the direction of the Meetings Director, the Meetings Assistant assists in all aspects of planning and execution of conferences, meetings and events with emphasis on registration and sponsorships. This position will serve as the meeting planner for a small conference (110 attendees) and the liaison to the Sponsorship Committee. Excellent customer service and attention to detail is a requirement of the position.
DUTIES AND RESPONSIBILITIES:
Responsible for attendee registration for 5 conferences. This includes on-site registration desk staff management as well as preparing attendee name badges and tickets.
Responsible for Expo customer service
Responsible for sending contracts to new and renewing sponsors
Responsible for overseeing the fulfillment of sponsor benefits
Shall serve as the staff liaison for the Sponsorship Committee
Responsible for a small conference including venue research, negotiation and contracting, budget, logistics, sponsorship sales and service, and on-site meeting management
Assists with details of the Conferences; including but not limited to, attending meetings with the Meetings Director and conference venue regarding logistics, conference supply inventories, signage, special dinners when held offsite, etc.
Responsible for audiovisual set up and videoconferencing for all meetings and classes held at the association’s office
Serves as back up to the staff person responsible for food & beverage service and meeting room set up
Serves as back up for audiovisual, conference office computer and conference Internet Cafe set up at conferences
Responsible for venue arrangements and logistics, including RSVP’s, of any special dinners and events being held on the association’s behalf
Other duties as directed
Meeting planning experienced, CMP preferred
Not-for-profit organization and/or association experience preferred
Demonstrates excellent collaboration skills, a solution-based attitude, and the ability to work with people with diverse skills and backgrounds

Consistent willingness to go above and beyond for project deliverables, as well as one’s own development
Exceptional attention to detail and excellent organization skills

Outstanding customer service ethic and high expectations for quality
Proficient using Microsoft Outlook, Word, Excel, PowerPoint. Database and project management software experience is helpful
Able to travel up to 20 days a year
Able to move, lift, carry, push, pull, and place objects weighing up to 25 pounds without assistance
Associate degree or 5-7 years equivalent work experience required
