APICS is in search of a high-performing Certification Operations Coordinator with a minimum of 1-2 years of professional experience within an association, to join the Certification Department. This fundamental position is the first line of contact for APICS certification programs. Additionally, the candidate will be involved with activities and processes related to the Certification program including responding to program inquiries and providing resources, and tracking processes in the certification program. Essential Functions and Responsibilities:
Serve as primary point of contact to candidates and credential holders;
Provide timely response as point of contact for candidate worldwide testing and certification inquiries;
Reply to correspondence from multiple email inboxes within APICS Certification Department expected time frame;
Interact with certification database management system (Aptify) to generate basic reports, update candidate records, or process manual orders;
Generate certificate reports, prepare and send certificates for printing within expected time frame;
Process, update and re-review certification maintenance applications, audit applications, eligibility applications, and other certification program requests, as necessary;
Handle any manual processing of authorization forms and exam credits as well as any approved business exceptions;
Resolve and correct errors from test delivery vendor transmissions per established schedule;
Process requests for instructor exam credits within APICS Certification Department expected time frame;
Provide input and proofreading support for certification marketing materials;
Support new Certification Project rollout with testing and proofreading assistance;
Process and track the success of special exam promotion requests;
Ensure Certification operational process documentation is kept current and accurate;
Provide recommendations and seek to implement a streamlined or automated approach for operational processes
Adhere to APICS and Certification policies and procedures.
Bachelor’s degree (B.A. or B.S.) or its equivalent from a four-year college;
One to two (1-2) years of professional work experience within an association.
Two to three (2-3) years of related professional experience in an association environment such as certification, professional development, international services, or member services.
Ability to maintain a high degree of confidentiality;
Ability to prioritize and execute on multiple, simultaneous, complex priorities, while multi-tasking to meet individual and the department-related deadlines;
Ability to work under pressure and to strict deadlines;
Proficiency in MS Suite, databases, spreadsheets, as well as research using the web;
Accurate and precise record keeping;
Contributing member of a team-oriented staff;
Interpersonal, written/verbal communication and customer service skills to work effectively with people of diverse talent and background;
Strong attention to detail;
Working knowledge of office practices, procedures and business writing.
Application of common sense understanding to supply or to carry out instructions furnished in written, oral and diagram form, and be able to effectively deal with problems;
Ability to accurately and efficiently use e-mail, spreadsheets technology (Excel), and the advanced features of word processing technology (Word) such as merge, indexing, and macro creation to produce and edit correspondence, contracts, and other documents. Incumbent must be familiar and comfortable with data processing, database applications and preferably be comfortable to write/generate report queries using SQL or report writing applications such as Crystal. Ability to use normal office equipment such as phones, copiers, scanners, VOIP applications, etc. is expected;
Problem analysis and problem resolution at both strategic and functional levels.
