The Project Coordinator will liaise with the BOC Examination Committees, the BOC Board of Governors, and other volunteers as required. Provide meeting logistics for 12-15 examination committee meetings annually. Coordinate the travel and hotel for exam committee members and guests, handle all related meeting correspondence and documents, and provide catering during the meeting.
The Project Coordinator must possess strong organizational skills, have the ability to multitask, and pay close attention to detail. The ability to manage multiple projects with time sensitive components over an extended period of time is imperative. Excellent customer service and communication skills, both oral and written, are required.
Examination Committee Meeting
Schedule exam committee meetings and conference calls.
Coordinate all arrangements for exam committee functions including travel, hotel, catering, and supplies.
Communicate effectively with committee members, invited guests, and appropriate in-house staff regarding meeting information and arrangements.
Complete committee expense reports and manage volunteer expense reports.
Manage exam committee membership. Work with the committee to nominate members for additional terms and invite guests as needed.
Meet regularly with Manager, BOC Operations to review and plan for current and upcoming projects.
Exam Study Products
Manage the coordination of work for the study guide/compendium.
Manage the coordination of work for the online study products.
Responsible for effectively maintaining and updating volunteer database of volunteers for exam study products.
Communicate deadlines and track volunteer assignments for exam study products.
Create, generate and format exam study product reports as required.
Monitor inventory/sales of exam study products.
Process honoraria if applicable.
Troubleshoot and resolve issues related to exam study product (i.e., refunds, incorrect content, subscription expiration, etc.)
Analyze and report on exam study product data
Exam Activities/BOC Department
Provide phone coverage for the department.
Maintain department calendar.
Record and take notes regarding meeting proceedings.
Maintain and order departmental supplies, including department resource library.
Maintain departmental and committee-related files, including committee roster and terms.
Review and write departmental procedures as needed.
Provide back-up to BOC Executive Assistant and Board Relations Manager.
Typical Working Conditions
The candidate works in climate controlled office on the day shift with frequent staff and volunteer contact. Occasional weekend work is required.
Associate degree or 60 semester hours from a regionally accredited college/university.
A minimum of one year of customer service experience with some experience in working with volunteers and making related travel/hotel arrangements. A minimum of two years of related work experience which includes computer proficiency (i.e., database, word processing, spreadsheets).
Excellent typing (minimum of 60 wpm)
Strong knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint)
Strong computer and database management skills
Proficient in business writing
Excellent communication (written and verbal) and customer service
Excellent organizational skills (ability to manage multiple projects simultaneously)
Ability to work congenially with volunteers
Must be able to work independently and think critically to problem solve as needed
