DIRECT SUPERVISOR: Director, Administration, Governance & Membership
POSITION SUMMARY DESCRIPTION:
This position is responsible for the growth and development of our membership program that generates upwards of $1.4 million in annual income from dues and other revenue streams. The incumbent will report to the Director, Administration, Governance & Membership and works closely with members, volunteers and other departments on projects related to or benefiting our members and volunteers. The position is accountable for member recruitment and retention, customer service, database analytics and marketing as well as financial reconciliation of revenues and expenses.
DUTIES & RESPONSIBILITES
Acting staff liaison to members and volunteers regarding requests for assistance, comments, complaints etc.
In house expert on all member programs, products, services and benefits as well as ACR bylaws, policies, procedures and functions.
Oversight of the new member application and renewal process including but not limited to:
Establishing annual timelines
Collaborating with in-house departments to ensure all necessary materials for ACR and ARHP renewals are produced
Ensuring notices and letters are accurate and sent in a timely manner
Verifying applications are complete and meet eligibility requirements
Work with accounting and IT to ensure that dues notices are sent out and payments are recorded
Identify and recommend best practices relative to innovative marketing campaigns and special promotions focused on membership growth and sustainability
Develop and direct ongoing membership marketing efforts including but not limited to
Label Rental Program
Develop and maintain user friendly, relevant, exciting and informative website content
Writing and producing promotional materials such as member applications, welcome letters, promotional ad campaigns etc.
Database and Analytics
Analyze membership data and trends, and produce reports for staff and leadership (e.g., demographic snapshots, historical trends)
Compile and distribute statistical membership reports and work with accounting and IT to ensure accuracy and integrity of data
develop appropriate strategies to collect and report information demographic from members
use feedback to guide recruitment/retention strategic development
coordinate, track, test, and evaluate targeted recruitment and retention campaigns
Membership Directory and The Rheumatologist
Draft membership-focused articles and ads for The Rheumatologist
Oversee the production of the annual ACR/ARHP Membership Directory, including gathering and formatting content, proofreading both text and data entries and providing mailing labels in appropriate format to outside vendors.
Manage the process of ACR and Foundation volunteer nominations, including
Development of marketing plan for the recruitment of new volunteers
Work with the Chair of the Committee on Nominations & Appointments regarding strategy and agenda setting
Submission of relevant action items to the Board of Directors
Ongoing review of the nominations process to ensure best practices and innovation are being met
Monitor revenues and expenses and provide quarterly variance reports
Attend the annual meeting, with responsibility for the membership booth and duties as directed, including training assigned ACR staff members and temporary employees in membership procedures and customer service.
5 years total experience in association management, non-profit or healthcare industry related work with 3 of those 5 years being spent in a membership department supporting 5,000 plus members
Marketing and sales experience
Certification or completed coursework in membership or non-profit organization management
3 years’ experience working with Association Management Systems preferably CRM
Stellar written and oral communication skills
Diplomatic communication skills with members, volunteers, third parties and staff especially in acrimonious situations
Exceptional organizational and project management skills
Strong collaborative work style
