Request for Proposals for Executive Director & Administrative Services
Executive Alliance, Maryland’s leading businesswomen’s network with over 80 members, is seeking a Contractor to provide Executive Director and Administrative Services for the organization. The mission of the Executive Alliance is to accelerate the success and leadership of accomplished women by expanding their impact and influence through advocacy, education and mentorship. The Contractor will undertake all facets of Executive Director activities and management of the organization, subject to review by the President and approval of the Board of Directors.
II. SCOPE OF SERVICES
A. Member Interface
Provide information and technical assistance to members relating to organization services, benefits, events, and operations.
In coordination with the board, plans, develops, and implements new programs and ideas to enhance member engagement and participation.
Confer with committee leaders to evaluate membership services and benefits and recommend methods to promote and increase membership involvement.
Direct or participate in preparation of educational and informative materials for presentation to membership or public in newsletters, magazines, news releases, or on radio or television.
Confer with officers to ensure that membership roster is current and complete and that members receive equal treatment regarding services and information provided by Board of Directors.
Visit members' businesses to maintain goodwill, to encourage greater participation and engagement in organization activities and to offer assistance.
B. External Relations
Represent organization in negotiations with representatives of government, business, and other organizations, and holds news conferences, delivers speeches, and appears before legislative bodies to present organization's viewpoints and encourage acceptance of goals and objectives.
Serve as the “face” of the organization, as appropriate, with funders, stakeholders, state and local officials, business leaders and the media.
C. Fiscal Management
Ensure the financial viability of the organization through ongoing fundraising and the control of operational expenses.
Manage the organization’s bookkeeping.
Oversee planning, preparation and implementation of the annual organizational budget in coordination with the committee chairs.
Assure that the budget and supporting rationale are presented to the Finance Committee for comment and to the full Board of Directors for approval prior to the beginning of each fiscal year.
Assure that a monthly statement of the organization’s financial position is provided to the Finance Committee, and a summary to the full Board.
Provide strong financial management ensuring that the organization operates efficiently and within its annual budget. Discuss with the Board any significant threat to, or departure from this objective.
D. Operational Responsibilities
Oversee the development and implementation of an organization strategic business plan. Update the strategic plan annually, with oversight of the Board.
Oversee the administrative operations of the organization, and ensure that all applicable local, state and federal laws and regulations are followed.
Support the President of the organization to help her execute during her tenure. This may include coordination, communication and other activities.
Maintains organization’s website, member database and social media accounts to present the organization in a professional manner and further our mission.
Identify and oversee qualified contractors, as needed, to support the activities of the organization.
E. Board Operations
Provide leadership and support to the Nominating Committee as they recruit candidates for the Board of Directors through a process approved by the Board of Directors.
Arrange for full Board meetings and Executive Committee meetings quarterly.
Provide support and assistance to the President to prepare for and conduct board meetings.
Provide input and information to assist in the orientation and ongoing education of Board Members regarding their responsibilities and working with the Executive Director.
Communicate effectively and regularly with the Board regarding ongoing Executive Alliance operations, challenges and opportunities facing the organization and any other significant events pertaining to Executive Alliance.
Carry out the policies and directives of the Board consistently and effectively.
F. Committee Support and Management
Provide leadership and oversight to the Partner Committee, which leads fundraising efforts for Executive Alliance.
Assist the Membership Committee to develop and implement a membership strategy, in cooperation with the Board.
Work with the Women on Boards to develop and implement a strategy which is reflected in the strategic plan.
Oversee the public relations and communications activities of Executive Alliance, ensuring that the organization presents a positive public image and is visible to the community. Work in coordination and at the direction of the President and PR Committee Chair.
G. Event Support
Plan, oversee and coordinate with the relevant Committees one large-scale event, several events quarterly, and member events monthly for Executive Alliance. Manage all event logistics, communication with intended audiences, venue and registration, and media outreach if applicable.
If necessary, work with third party contractors on various aspects of an event. Coordinate and supervise caterers, printers, speakers, event planners to ensure that the organization’s interests are served and events are managed to the budget.
III. PROPOSAL REQUIREMENTS
Proposals should provide a clear, concise response to the Scope of Service requirements described above, and demonstrate experience in volunteer management, project management, reporting to a board of directors and fund development. The proposal should include a CV/resume and five references. The contract range is $55,000 - $75,000.
