340B Health has an immediate opening for a Operations Coordinator at our growing non-profit health care trade association. This position reports directly to the Vice President of Operations.
The coordinator supports conferences and events including national conferences, roundtables and webinars, the corporate partner program, institutional membership, and other operations functions. Support event activities:
Assist with event logistics including registration, assembly, and production of event materials
Manage registration process prior to the conferences including answering attendee questions, processing registrations, reviewing event registration reports for accuracy and identifying and fixing issues
Help plan and execute webinars and round tables
Help staff our two national conference
Support the corporate partner program:
Help support the corporate partner program by helping to prepare invoices and conduct collections
Help prepare exhibit and sponsorship invoices, conduct follow-up and document collections, and conduct collections
Maintain accurate and up-to-date records of outreach/new corporate partner activities, including inputting data into iMIS database and developing and providing tracking reports
Support membership activities:
Assist the membership coordinator in annual renewal process, including responding to inquiries about invoices, performing personal outreach via email and phone to members and updating iMIS and other records to reflect actions taken
Support hospital/health system recruitment efforts, including marketing, communications, and personal outreach to prospects
Maintain accurate and up-to-date records of outreach/new member activities, including inputting data into iMIS database and developing and providing tracking reports
Monitor our general phone, voicemail and email accounts and help members and other outside parties with login and registration issues; direct other communications to appropriate staff as necessary
Assist in ensuring completeness, accuracy and integrity of iMIS membership database
Respond to member inquiries and concerns regarding the iMIS database such as event registrations, website logins, etc.
Monitor and respond to requests coming into our general info email accounts
Develop and edit PowerPoint presentations
Write and prepare emails and letters to the members and corporate partners
Handle administrative duties as assigned
Must be available to work 40 hours a week at our offices in downtown Washington, D.C.
B.A. or above
One+ years of professional experience, ideally in an association setting
Exceptional writing skills and experience
Self-starter; ability to work independently and monitor own performance objectives
Exceptional organizational skills
Ability to multi-task and solve problems in a fast-paced, dynamic environment
Must be able to work quickly without compromising accuracy/details
Flexibility and the ability to adjust priorities is a must
Excellent customer service, interpersonal and communication skills
Adept at working collaboratively with team members across functional units
Proficient in Microsoft Word, Outlook, Excel and PowerPoint
iMIS experience a plus
Limited travel required but must help staff our annual national conference in California.
