The events and communications coordinator will handle booth display logistics for approximately 20 trade shows and book fairs that members attend each year; assist with organizing and running the annual business meeting of the EFA; and periodically assist with our biennial conference. They will assist the general manager with member communications and administrative duties, and will assist board members and committees, especially relating to events, PR, advertising, social media, and the EFA website. This is a part-time position (25 hours per week) located at the EFA national office.
Duties will include
plan and coordinate shipments to off-site shows
pack and ship materials and maintain physical inventory for booth displays
coordinate and help produce promotional materials and ads using text, graphics, and videos, working with EFA volunteers and outside graphics company
help plan, promote, and produce annual business meeting and party at our NY office, as well as informal holiday gathering
work with the general manager and the conference committee on logistics, planning, website setup and maintenance, promotion, registrations, sponsorships, and print materials for our national conference (expected attendance 150-200)
prepare and send bulk email and maintain mailing lists
update website copy and assist with back-end development/maintenance
diagnose and address basic website functionality issues for members and the public
prepare and distribute materials for social media, website, newsletter, and email communications and marketing/PR efforts
utilize and maintain internal communications platforms
produce data analytics reports for website, email
answer phone calls and email correspondence from members and the public
run local errands
and other duties.
Excellent communication skills: writing, listening, and speaking
Extremely strong organizational ability, attentiveness to detail, deadline orientation, and reliability
Ability to work as part of team (virtual or in person) and independently
Ability to lift and transport booth display materials
Ability to travel to and work during our biennial conference, to be held next in Chicago, August 21-23, 2019
Familiarity with digital communications and collaboration platforms
Knowledge of social media, preferably for business uses
Familiarity with bulk email service such as Mailchimp
Strong command of Microsoft Office applications, Google Drive, Dropbox, and similar services
Familiarity with WordPress or similar CMS
Comfortable working online, in person, and on the phone with EFA members and volunteers and the public
Two to three years of relevant work experience
Proofreading or copyediting experience or training
Interest in the freelance work path for editors, writers, and other communications professionals
Experience working for or familiarity with a professional association
Experience working with volunteers or as a volunteer
Experience with SEO and data analytics
Experience with Cvent platform
Familiarity with Chicago Manual of Style 17th ed.
