The American Council of Engineering Companies (ACEC) is seeking an Executive Assistant to the President and CEO. The ideal candidate will be experienced, mature and have experience at the C-Suite level. E-mail resume and cover letter, including salary expectations.
POSITION: Executive Assistant to President and CEO
REPORTS TO: President/Chief Executive Officer
PRIMARY OBJECTIVE: Responsible for administrative support for the President/CEO. Enhances executive's effectiveness by representing the executive to others; and organizing executive office activities.
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; preparing e-mails for distribution; collecting and analyzing information; initiating telecommunications.
Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, travel and hotel reservations.
Prepare “travel binder” for executive with the necessary information for each meeting.
Reconcile credit card statement for executive each month.
Welcomes guests and members by greeting them, in person or on the telephone; answering or directing inquiries.
Maintains executive’s confidence and protects operations by keeping information confidential.
Help ensure Council’s responsiveness to member needs through close coordination with staff and volunteers, as directed by the executive.
Support executive in securing responsiveness of staff to requests for materials and completion of action items.
Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
Assist with faxing/scanning/copying as needed.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Contributes to team effort by accomplishing related results as needed.
Prepare and distribute Board of Directors meeting agenda in compliance with Bylaws.
Attend Board of Directors meetings and prepare minutes for distribution to Board and membership.
Prepare and distribute Executive Committee agenda; attend Executive Committee meetings; and prepare minutes for distribution to the Executive Committee.
Bachelor’s Degree or equivalent experience. Minimum of 5 years administrative experience at the C-Suite level. Experience in heavy calendar management. Experience making travel arrangements, preparing detailed travel itineraries and agenda. Must be proficient in Microsoft Office, including Outlook, Word, PowerPoint, and Excel. Excellent writing skills. Ideal candidate will be mature and experienced, and extremely detail oriented; have strong verbal and interpersonal communication skills. Ability to handle multiple tasks.
