Summary of Duties: To assist with meetings, membership, communications and marketing for the State Association Management and Membership division of the national SSA. The Coordinator will be responsible for supporting, helping with logistics, and marketing for meetings, education, as well as membership functions of the SSA’s managed state associations and support the overall goals of the department by performing duties as assigned.
Specific Responsibilities include:
Produce, write and edit materials for membership, state conferences, quarterly newsletters, monthly SSA magazine, and state websites.
Coordinate and execute mailings and emails to state groups as needed. Answers membership and meeting inquiries via email and phone.
Candidate should have advocacy and research skills in order to convey message of managed state associations to constituents.
Develop registration materials and process registrations for SSA State meetings.
Coordinate and execute program related support including collection of all session materials; speaker biographies; audiovisual needs, meeting surveys and presentations.
Communicate with exhibitors and sponsors regarding participation at meetings. Maintain database profile for all meetings and develop and maintain reports. Order or produce all meeting supplies, promotional items and signage.
Prepare attendee lists, rooming lists, meeting badges, name tents and other meeting materials as needed.
Coordinate and execute meeting content and information on the website. Coordinate catering and logistics for SSA State meetings.
Provide on-site coordination/support for state and national meetings as assigned. This may require travel to 4-5 meetings per year (2 national and 2-3 state association meetings).
Responsible for answering association phones, answering general questions and forwarding to appropriate person, as needed.
Candidate will be responsible for the input of and to maintain membership data, data integrity and a large amount of daily data entry.
Bachelor’s degree preferred.
2-3 years association experience a plus.
Ability to write and edit promotional copy and business correspondence.
Proven experience in marketing, direct mail and e-mail production (Constant Contact a plus).
Ability to coordinate and administer multi-faceted programs and projects.
Strong verbal and written communication skills.
Ability to multi-task and work independently, efficiently under multiple deadlines.
Excellent, articulate, personable and diplomatic customer service skills.
Possess a positive, team-player attitude.
Proficient in MS Office (Word, Excel, PowerPoint, Paint).
Collaborate with and across multiple departments, at home offices, and in an office setting.
Reliable and dependable.
Proficient in an association management system (Clearvantage AMS products a plus).
