ASTRO, the American Society for Radiation Oncology, is seeking an individual to participate in the development of the Annual Meeting educational and scientific program, under the direction of the Assistant Director of Education. This will involve working as part of a team to carry out an efficient and effective planning process. This position will assist with many parts of the Annual Meeting to include session submission, registration logic, and management and communication with over 400 faculty. The Specialist will also assist in gathering CME content and documentation to ensure adherence to ACCME requirements.
This position will involve extensive work in various databases, communications with faculty and volunteers, and membership inquiries regarding ASTRO’s Annual Meeting.
Assist in coordination of faculty and presenters in the Annual Meeting educational and scientific program.
Serve as the staff liaison to the Annual Meeting Education Committee and assist in the development, implementation and coordination of committee activities. This includes arranging conference calls and scheduling meetings; soliciting and organizing speakers and topics; maintaining faculty database; facilitating timely and regular communications among volunteers; and developing the budget for the education program for the Annual Meeting.
Organize course information materials and educational/scientific session speakers/faculty, including session details such as session titles, presentation titles, session descriptions, learning objectives, etc.
Develop, maintain and edit the Annual Meeting technology tools such as the online conference planner and meeting app.
Contribute to the planning process for live educational activities by designing, gathering, analyzing, and interpreting information to help assess educational needs and practice gaps.
Request, maintain, manage and document speaker disclosure statements and management process to include session audit process.
Ensure program documentation supports compliance with accrediting bodies and the essential areas of the ACCME.
Review and process faculty expense reports.
Maintain complete and accurate documentation relating to areas of responsibilities.
Utilize educational tools and workflow processes in the association management system.
Work with IT, Meetings, Communications (and other departments as necessary) to develop and maintain the technology components of various aspects of the Annual Meeting such as session submission, registration, speaker center, meeting technology tools, i.e. online conference planner, meeting app and website.
Implement Innovative programming and work with internal and external stakeholders in the development of live activities.
Maintain current knowledge of adult learning theory and practices and emerging technologies for education delivery to health care professionals.
Other duties as assigned.
Successful candidates will have:
Bachelor’s degree or equivalent work experience required. A minimum of 3 years’ experience in a role requiring faculty/speaker management, database management and coordination of technology tools (i.e. mobile app) is required. Experience in CME/ACCME (or equivalent) documentation is preferred. Experience working in medical education, ACCME accreditation, and non-profit associations is strongly preferred.
Knowledge, Skills and Abilities
Proficient in Microsoft Office Suite with extensive experience working with Excel.
Experience and proficiency in association management systems, membership databases, abstract management systems, and/or speaker/faculty management systems.
Excellent interpersonal skills with ability to effectively communicate verbally and in writing with staff, management, leadership and members.
Experience with ACCME requirements, conflict of interest management and MOC requirements.
