The Conference Coordinator is responsible for supporting the planning of the association’s national continuing legal education conferences and its Leadership Summit and Annual Meeting and Convention, with attendance ranging from 100–800 attendees.
Essential Duties and Responsibilities
Assist with planning all conference logistics including, but not limited to: meeting room specifications, catering and audio visual, conference rooming list and room blocks, conference shipments, speaker confirmations and communications, onsite print materials and collateral, and tracking conference history
Process conference attendee and speaker registrations and respond to registration inquiries in a timely manner
Process sponsor registration and assist with exhibit hall logistics
Work closely with the Conference Manager to confirm and compile agenda and speaker updates for each conference for marketing purpose, promotional and onsite materials, and CLE applications
Create and maintain up-to-date conference online webpage(s)
Create all onsite signage, speaker name plates and PowerPoint templates for FBA national meetings and conferences
Support onsite management of conferences and meetings as needed and assist with registration procedures, including setup, tear down, lifting materials, and organizing and packing items for shipment
Periodic travel required by air, rail or automobile, whichever suit the needs of the business
The qualifications and skills required for this position are as follows:
Bachelor’s degree preferred
At least (1-2) years of conference planning experience
Attention to detail and strong organizational skills
Ability to multi-task
Proficient in Microsoft Office suite and Adobe Acrobat
Excellent interpersonal skills and written/oral communication skills
Commitment to excellent customer/member service
Self-motivation and flexibility
The ability to work in a “team” environment across departmental groups as well as autonomously
Must be able to travel and work occasional weekends to attend events and other off-site functions when applicable
