MEMBERSHIP AND PROGRAMS COORDINATOR
The Membership and Programs Coordinator is the key staff person to ensure effective administration of DATIA (Client - Drug & Alcohol Testing Industry Association - datia.org) programs and membership benefits. As such, the Membership and Programs Coordinator is responsible for:
Program and Membership Marketing. Development of marketing campaigns. Formatting and sending marketing pieces. Making calls to market DATIA programs and membership. Sending non-member course attendee recruits within 7 days of course. Ensuring accuracy in recruit and renewal letters. Annual preparation and sending of membership and program renewals per schedule.
Website Maintenance and Email communication. Weekly review of website to identify any areas needing edits or updating. Posting new headlines on DATIA home page weekly. Posting to DATIA Facebook and LinkedIn pages daily. Editing website weekly to include moving articles off home page and onto permanent pages, removing links to outdated pages, updating SAMHSA lab list, adding previous week’s eNewsweekly, etc. Writing, formatting and sending DATIA eNewsweekly in HTML each week. Maintaining the DATIA Industry Calendar to include removing outdated items, and locating and posting upcoming educational opportunities. Formatting recruit pieces in HTML and sending through mass email program.
Training Course Planning and Management. Manage DATIA training seminars to include logistic planning (AV and F&B), handout development and generation, preparing materials for shipment and ensuring their timely arrival, and on-site management. Maintain course manuals making edits as they are needed (have edits approved first by Executive Director). Attending and managing training courses to include room set-up, registration, providing assistance to speakers, and ensuring successful execution of meeting.
DATIA Focus Management. Soliciting and managing authors for each issue of DATIA focus. Working with vendors on design and layout of each issue. Ensuring author bank for future issues. Sending out monthly requests for authors and working at in-person events to secure authors.
Publications. Sending Red Book updates or update notices to subscribers monthly. Making edits to Red Book as they occur. Review of all training manuals for edits. Maintaining updated content in all course manuals. Writing articles for and formatting of newsletter. Sending of newsletter to members.
Conference and Webinar Planning. Assist Executive Director with the DATIA Annual conference logistic planning (AV and F&B), handout development and generation, preparing materials for shipment and ensuring their timely arrival, on-site management, and selection and ordering of premiums. Attendance and on-site management at the annual conference to include room set-up, registration, taking minutes at Board meetings, and providing assistance where necessary. Solicit and secure speakers for DATIA webinars with Executive Director. Maintaining website with upcoming webinars and archived webinars.
Knowledge of Membership and Program Benefits.Understanding of and communicating about DATIA membership and program benefits. Awareness of current DATIA issues through reading the DATIA website, newsletter, and industry publications. Knowledge of federal rules and regulations as they relate to the drug and alcohol testing industry.
Program Fulfillment. Ensure quality control in accreditation and certification programs. Monitor program documents to ensure effectiveness and make appropriate changes after reviewing with Executive Director. Make any needed modifications to online training and certification programs. Import training course participants into training database immediately following courses.
Membership Fulfillment. Fulfilling information requests including sending out (mail, fax, or email) information on membership (within 24 hours of request), information on certification and accreditation, information on conferences, membership applications, and other membership or program requests to those persons to whom you speak.
Supply Maintenance. Ensure that adequate supplies of DATIA materials are maintained (letterhead, envelopes, brochures, etc.). Making changes to materials to ensure their accuracy or alerting the appropriate person of changes that need to be made.
Data Entry. Keep the association databases updated and accurate, by verifying company information, spellings, and completeness of contact records.
Association Bill Payment. Maintaining files of DATIA bills to be paid. After checks have been approved and sent by Executive Director, filing paid bills along with the DATIA check stub.
Quality Control. Ensure the quality, accuracy, and excellence of association mailings, publications, web sites, activities, and events. Keep careful track of deadlines in computer organizing format to ensure accuracy.
Communication. Notify appropriate team members of problem areas or member comments and/or concerns. Enlist the help of other team members when necessary, as well as assist other team members when needed. Maintain open lines of communication on group projects.
Professional Development. Enthusiasm towards seeking out resources for increasing work expertise and growth. Self-discipline in planning and completing work. Taking initiative when opportunities arise for increased learning and experience. Taking responsibility when mistakes or oversights happen.

Required to work offsite 3 weeks per year at meetings
