We are seeking a candidate for the Operations & Fulfillment Coordinator position in Alexandria, VA. The position is responsible for managing several support services related to event operations and fulfillment. The Operations & Fulfillment Coordinator will report to the Director, Meeting Planning & Operations and will be a vital piece to the Events team, collaborating with sales, programming, membership, and marketing to ensure event and customer experiences are positive.
Specific responsibilities include:
Serve as the primary logistics contact for sponsors, advertisers, and corporate partners across all sales inventory.
Coordinate the delivery of contracted benefits for all sponsors, advertisers, and corporate partners.
Manage and monitor internal coordination and execution of advertising and sponsorship deliverables and ensure proper display of logos, links, profiles, and ads.
Provide onsite event support to our customers and QA checks of signage and sponsorship deliverables.
Compile and distribute advertising metrics to Argentum Daily and Resource Spotlight advertisers as deemed necessary on scheduled basis.
Maintain accurate and up to date records on activities
Coordination of ancillary meeting space requests at events.
Serve as the primary internal customer service contact for inbound event housing and registration inquiries (not group related), working with staff or third-party vendors to resolve any customer situations.
Serve as the primary internal customer service contact for inbound Exhibitor inquiries that are service related (not sales related), working with sales staff or third-party vendors to resolve any customer situations
Secures and saves all speaker assets, including bio, photo, confirmation letter, and other required information. Manages inbound receipt of presentations, handouts, etc. for on-site deployment.
Support lead for the CEU program, reporting requirements, and inbound inquiries for CEU requests for certificates from attendees.
Maintains speaker invitation tracking and invitation follow up to speakers as needed; tracks responses and follows up timely on outstanding invitations.
Coordinates content planning calls with speakers.
Coordinates on-site rehearsal schedules with A/V team and session speakers.
Coordinates session evaluations and uploads into event mobile app software.
Bachelor’s degree with at least 2 years’ experience in meetings or event coordination. Experience in Event Sponsor customer service and Expo/Exhibitor management preferred.
This is a full time position. Days and hours of work are Monday through Friday during core flexible work hours. Overnight, multi-day travel to the annual conference (spring) and symposium (fall) is expected, with additional out-of-the-area and overnight travel possible.
