The Association of American Veterinary Medical Colleges (AAVMC) is seeking a well-qualified candidate to fill the position of Executive Assistant/Program Manager. The Executive Assistant/Program Manager will help advance the AAVMC’s mission by providing high-level administrative and professional support for the Chief Executive Officer and senior directors.
The ideal candidate will be a highly resourceful team-player who has excellent interpersonal skills and can communicate effectively and build relationships with a variety of stakeholders. The successful candidate also will be detail-oriented and has outstanding written and oral communication skills.
Summary of Primary Responsibilities
Perform a variety of administrative functions to the CEO and senior directors including preparing correspondence, coordinating schedules and calendars, and making travel arrangements
Provide administrative support to the Board of Directors including assisting in the preparation of Board meeting agendas and meeting materials, scheduling Board conference calls, attending Board meetings, preparing Board meeting minutes, and monitoring the Board’s online community
Assists with special projects and programs as needed
Occasional travel and overtime, including evenings and weekends, is required
Summary of Qualifications, Skills and Knowledge Requirements
Minimum of 5 years of experience as an Executive Assistant reporting directly to C-level executives, preferably in a non-profit organization
Ability to exercise independent judgment to plan, prioritize and organize a diversified workload with minimum supervision
Ability to uphold a strict level of confidentiality
Ability to work collaboratively with others in the organization
Thoroughness and attention to detail
Excellent written and verbal communications skills
Proficiency in Office 365 applications and programs such as Word, Excel, PowerPoint and Outlook
