EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (minimum of 37.5 hours per week)
Provides managerial support to the Director of Scientific Programs for the MDS Rating Scales Program activities and other MDS scientific programs or initiatives as needed. Position maintains high level of responsibility, exercising discretion and sound independent judgment in performing assigned tasks. Ideal candidate will have impeccable communication skills, a high attention to detail, and the ability to remain organized and adaptable to changing needs.
POSITION RESPONSIBILITIES: (minimum of 37.5 hours/week)
Manage identified MDS Rating Scales Program activities including but not limited to, intellectual property and scale licensing, contracts, permission requests, translation programs, educational training programs, program materials, and new scale development activities;
Prepare contracts, addenda, amendments, and study specific assignments; maintain contract templates and assist with tracking agreements and contractual obligations; oversee contract cycle from preparation through review to signature for assigned requests; ensure all contracts are returned and properly executed;
Work with the Director of Scientific Programs to review, negotiate, and analyze contract terms and conditions in keeping with MDS requirements, recommendations from MDS lawyers, industry best practices, and applicable laws and regulations;
Manage relationships with external sponsors, scale requestors, and other contacts throughout the licensing process and contract cycle;
Provide information on institutional policies and procedures for all inquiries; follow-up promptly with contacts and organizations to ensure timely processing of requests;
In consultation with the Director of Scientific Programs, develop program related marketing materials, website content, and other external communications; ensure that rating scales web content is up-to-date and consistent;
In consultation with the Director of Scientific Programs, assist with the electronic scale review process and projects assessing technological needs for the program;
Support the Director of Scientific Programs with management of committees, task forces, study groups or other workgroups as needed including coordinating meetings, communications, minutes, agendas, presentation materials, and other program related materials;
Research, gather information, and work with a variety of individuals to develop initiatives and projects; work independently to complete projects as assigned and streamline Rating Scale Program processes as needed;
Assist with proofreading and formatting of program related materials with high attention to detail;
Assist in creating reports and compiling program statistics;
Communicate in a professional manner with MDS members, MDS leadership, related organizations, staff, internal and external vendors for Rating Scale Program activities;
Coordinate internal work orders and serve as a staff liaison for EDI support services;
Provide general administrative support, including but not limited to: processing check requests, invoices, booking staff travel, drafting and distributing staff memos, copying, faxing, managing databases (including iMIS updates), maintaining computer and paper files, scheduling conference calls, and coordinating mailings;
Other duties as assigned
AMOUNT OF TRAVEL REQUIRED: Some travel, including international, may be required. Some early morning/evening work may be required.
EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree; excellent organizational and communications skills; computer proficiency including Microsoft Word, Excel, PowerPoint; high accuracy; attention-to-detail. Previous experience with licensing, contracts, or other related law work experience preferred.
PHYSICAL REQUIREMENTS: (example - lifting, packaging, etc.) Occasional lifting of 50 pounds may be required.
