Position Description – Member Services Coordinator
The Member Services Coordinator of IHMM and HMS reports directly to the Executive Director and serves in support of the Executive Director through being the lead staff person with the following specific responsibilities;
HMS Member Services Committee. Takes the initiative to bring to the committee, and encourage the committee to devise for itself in working with the MSC, an on-going review of goods and services most consumed or used by IHMM certificants that can be discussed as productive potential additions to the Affinity programs of IHMM and HMS. Key elements to the successful development of these programs will be;
Having constructed and executed a vehicle to collect information from IHMM certificants beyond written surveys that allows for the easy identification of potential group buying opportunities. This includes, but is not limited to, a specific agenda of potential value-added programs identified from our members and that agenda is kept up-to-date to ensure its timeliness. Seeks vendors to meet the needs of IHMM as identified and recommends potential programs to the AP Committee;
Exploring these opportunities with the Member Services Committee to ensure the volunteer leaders of IHMM and HMS agree that the development of recommended programs meets with the needs of the group;
That the potential program will allow for group purchase at a discount from that found commercially available to anyone, that the potential program will return income to HMS in exchange for HMS’s endorsement of the program.
HMS Education and Training Committee. Take the initiative to bring to the committees, and encourage the committee to devise for itself in working with the MSC, an annual agenda of education and training courses to be run by HMS. This annual agenda will have been constructed to meet the most pressing training and education needs of IHMM certificants and the agenda will be based on feedback from certificants and the Education and Training Committee. The annual agenda of courses will include course names, course content, course instructor, estimates of the number of times the course[s] will be run, course location, and estimate of course costs and net return. The annual agenda will be delivered to the Executive Director 60 days prior to the end of the HMS budget year and in time for being included in HMS budget development. Organization and execution of the programs within the jurisdiction of this position includes, but are not limited to, arranging for instructors, producing promotional materials and coordinating all promotional activities.
IHMM and HMS Membership and Certificant Development. Produces the materials use by IHMM to promote IHMM credentials and HMS programs to prospective participants. Organizes regular events to highlight the benefits of IHMM credentials in order to attract new certificants to IHMM and increase use of HMS programs. Maintains the Association Anywhere database of prospects that includes names, addresses, telephone numbers, and email addresses. Works with other IHMM staff as necessary to ensure IHMM’s certificant number growth and prevents losses wherever possible.
IHMM and HMS Communications. Constructs and maintains methods of timely communication between IHMM/HMS staff and any other committees or task forces and the general membership on all matters of education and training and member services interests. This includes, but is not limited to email, newsletter and regular mail by taking advantage of the most timely and complete method of communications given the issues IHMM faces. Provides material for the newsletter and website to maintain member information resources on all matters under the position’s jurisdiction.
IHMM and HMS Marketing. Works with the marketing firm retained by IHMM to implement the plans and budget approved by the Board for the marketing of IHMM credentials and HMS programs.
IHMM and HMS Conferences. Works directly with other organizations to identify prime opportunities for collaborative efforts that will highlight the value of IHMM credentials and HMS programs and recommends which events we should participate in. Identifies the number of potential different venues through the country at which we may run our own annual events. Solicits interest in hosting the event at different venues, the MSD will negotiate all fees with the venues and ensures all arrangements are made for a successful event. Produces and distributes promotional materials to certificants in a timely fashion. MSD will work with the HMS Conferences Meetings Group to enlist the assistance and input of members in the construction and execution of this event. Ensures the conferences function meets budget targets.
IHMM and HMS Trade Show. Organizes and executes plans for IHMM and HMS to appear at trade shows, ensuring that the latest developments in our communities of practice and credentials are professionally highlighted. Enlist the certificants in suggesting what types of events they would most like to see around our trade show involvement. Ensures trade show participation meets budget targets. Coordinates local IHMM certificant participation in staffing our booth.
Association Anywhere. Masters the use of the IHMM/HMS database, Association Anywhere. This is the database for retaining prospective new certificants, potential new HMS associate members, communications, as well as electronic newsletters. Develops electronic communications for IHMM and HMS. Works with other IHMM/HMS staff as necessary.
Higher Logic/IHMM and HMS Networking. Masters the use and oversight of the IHMM/HMS networking program called Higher Logic, leading the staff in interfacing with the vendor in the productive operation of the platform in service to IHMM certificants and HMS members. Works with other IHMM/HMS staff as necessary.
Meetings. Assists the Executive Director and other staff with scheduling meetings and producing agendas for those meetings as needed and providing whatever other support for the scheduling and execution of meetings is required to support IHMM and HMS activities.
Other duties as may be assigned.
National credential organization seeks a Member Services Coordinator who serves both the IHMM credential organization and the Hazardous Materials Society. The position demands an innovative and energetic person with strong interpersonal communications skills, high organizational skills, proven marketing and computer skills and willingness to travel. Must be able to work with minimal supervision and with other IHMM/HMS staff and volunteers.
The Member Services Coordinator works with several association groups organizing numerous educational events under the supervision of IHMM’s Executive Director. The position is full time and carries a competitive salary and benefits package, including health, and life insurance and a 401[k] plan.
The incumbent will work in this position remotely. IHMM will install the necessary software to enable the incumbent to work with our team remotely and participate in all Institute and Society activities remotely.
The salary range for the IHMM Member Services Coordinator ranges from $51,000 annually to $60,000 annually with the final salary offer being made commensurate with demonstrated, proven experience in a strongly similar position.
