Position Overview The duties of this position are 80% ILSNA / 20% IASBO. Provides support to the Association’s Professional Development Department and supports the business operations and activities to fulfill the organizational goals of the Illinois School Nutrition Association (ILSNA) and the Illinois Association of School Business Officials (Illinois ASBO). This opportunity has been created due to the newly created partnership between Illinois ASBO and ILSNA. Responsibilities - Coordinate services for meetings and events, such as accommodations for participants, facilities, catering, AV needs, signage and event security.
- Manage event activities to ensure the satisfaction of participants and to guarantee the event complies with applicable regulations and laws.
- Maintain effective working relationships with members to determine event objectives and to accomplish department goals.
- Negotiate contracts with service providers and suppliers (hotels, convention centers, speakers, etc.).
- Develop budgets, project revenues and expenses and control expenditures as per budget parameters.
- Compose correspondence, documentation, surveys and spreadsheets.
- Develop content including but not limited to Web content, articles, blog/social media posts and marketing emails.
- Conduct site searches/visits to various venues including hotels, restaurants, etc. throughout the state of Illinois.
- Update and maintain member database and records.
- Builds and maintains long-term relationships with Service Associate sponsors and potential sponsors, primarily in the managing of the annual event sponsorships.
- Plans and implements communications (emails, mail, phone calls) to potential partners based on partner interest, cultivates relationships and collaborates with members.
- Participates in the planning discussions of all partnered events.
- Works with the Marketing Department to manage partner recognition, prior to and at special events.
- Coordinate all aspects of online learning and events, such as creating events in online platform, training presenters in online delivery and hands-on management of live and recorded online learning.
- Support Association Learning Management System (LMS) and virtual learning platform.
- Conduct research on and become proficient in new online meeting delivery platforms, as they become available and/or are deemed necessary by the Association.
- Attends event and sponsorship sub-committee meetings as needed.
- Foster effective teamwork between ILSNA and Illinois ASBO staff in an effort to foster a culture of trust and collaboration.
- Coordinate services for ILSNA board meetings and board of director events, such as accommodations for participants, registrations, travel, etc.
- Coordinate ILSNA board meetings.
- Create and maintain ILSNA board meeting agendas, minutes, logistics, etc.
- Maintain ILSNA board policy.
- Other duties as assigned.
Requirements - Ability to prioritize heavy work volume among the various areas according to department demands.
- Ability to meet aggressive deadlines independently or as part of a team.
- Ability to quickly learn and/or self-teach new computer programs and platforms.
- One week of onsite support at the Illinois ASBO Annual Conference each April or May and onsite support at the ILSNA conferences and events.

- Excellent organizational, customer service and problem solving skills.
- Other travel will also be required throughout the year and is reimbursed by the Association, including the Illinois ASBO Board retreat.
Required Knowledge and Skills Must have a minimum of 3 years of experience; experience working with a board of directors; have excellent organizational and phone skills, detail and multi-tasking skills with good follow through and commitment to accuracy and timeliness; and a friendly, engaging and professional personality. Familiarity with MS Office Suite; including, proficiency with word processing, spreadsheets, database management, email, and calendar programs, as well as familiarity with Social Media preferred and a knowledge of or desire to learn some graphic design skills. Additional Information Illinois ASBO is housed on Northern Illinois University (NIU) campus; however, this position is not through NIU. Salary commensurate with experience; benefits include sick and vacation time; optional medical/vision/dental/life insurance, 403(b), etc. Illinois ASBO staff are currently working remotely due to Covid-19. Working on a remote basis permanently can be negotiated. |
