This position is responsible for all accounting for a statewide trade association, its foundation and political action committee as well as overall office administration. This includes responsibility for all accounting functions including daily transaction processing, monthly billing, payroll, regulatory compliance, and internal control monitoring. Further, the position is responsible for managing the headquarters office space.
Essential duties and responsibilities include the following. Other duties may be assigned.
Responsible for daily accounting operations and performing administrative functions for association, foundation, and PAC.
Processes all accounts receivable, accounts payable, invoices, and payments.
Reviews all credit card transactions and processes credit card receipts.
Prepares monthly, quarterly, and year-end financial reports as well as provides information as requested by Finance Committee, CEO, or other staff. Reports detail assets, liabilities, capital, revenue, and expenses.
Prepares all schedules required by third party vendors, external accountants, and bankers.
Completes financial analyses of cash flow, investment strategies, banking relationships, debt management, and so on. Develops and recommends improvements as appropriate to maximize use of cash and assets.
Consolidates all district financial activity with association.
Oversees and coordinates the preparation of annual capital and operations budgets. Serves as lead staff for Finance Committee meetings. Conducts interim budget forecasts as directed.
Responsible for planning, developing, and implementing effective accounting strategies, policies, and procedures.
Ensures effective financial internal controls for the association. Continually evaluates established policies and procedures, and updates or modifies policies and procedures as necessary.
Leads the development of financial goals consistent with the association’s strategic plan.
Ensures that financial policies are in accordance GAAP and updated as needed with evolving regulations, legal requirements, and industry trends.
Ensures that external document submissions and filings are accurate and timely including those required to be submitted to the Virginia Department of Elections and Ethics Council.
Coordinates tax reporting requirements. Works with external accountants to file all applicable tax returns.
Coordinates the annual audit or financial review. Prepares Requests for Proposals for competitive auditor selection when appropriate. Cooperates with and assists external auditors as appropriate.
Responsible for human resources functions in coordination with CEO.
Responsible for processing payroll, including reports and remittances to federal and state agencies.
Responsible for enrollment or deletion of employees on payroll and fringe benefits as appropriate. Orients new employees on payroll, benefits, and accounting procedures.
Monitors cost and administration of fringe benefit programs and researches and implements changes as directed including insurance benefits. Researches and resolves fringe benefit issues that arise.
Processes employee bonuses and raises in accordance with employee agreements and direction.
Responsible for the management of the association membership database.
Prepares and reconciles annual membership dues invoices.
Provides annual database information for publication of membership directory.
Sets up new members in database and reports same to appropriate staff.
Leads annual membership verification process to update membership information in database.
Implements policies for and directs the storage, confidentiality and safety of association written and electronic records for all offices.
Education & experience: Bachelor’s degree required. CPA preferred. Thorough knowledge of financial and accounting practices and procedures, with non-profit experience preferred. Understanding of government regulations and reporting requirements, preferably including political contributions. Understanding of related auditing and IT functions. Three to five years of accounting experience, preferably in a membership association or nonprofit.
Communication Skills: This position requires the following abilities: to read, analyze and interpret financial reports and legal documents; to respond to common inquiries or complaints from members, regulatory agencies, or members of the business community; to write reports for publication that conforms to prescribed style and format; and to effectively present information to management and/or the board of directors.
Skills: Requires advanced ability to operate computers and related software programs and ability to manage the information and communications technology for the association. Advanced level ability required in Microsoft Office programs including ability to design and use Excel spreadsheets; experience with accounting software and association management software (AMS).
