Established in 1984, American Shoulder and Elbow Surgeons (ASES) is a professional medical association. As an independent entity, their purpose is to engage in, advance, support, promote and administer scientific and educational activities, causes and projects.
As the Education and Meetings Coordinator, you will be responsible for coordination and implementation of the association's educational programs, meetings and courses. You will manage the LMS system, registration system, call for abstracts, and serve as liaison to committees and speakers. You will coordinate management of vendor relationships related to programming and events. You will also assist the Meetings and Education Manager with management of the association's operations, programs, activities and affairs to facilitate and maintain healthy and viable organization in accordance with key association management principles and ethics.
RESPONSIBILITIES:
Coordinate and implement educational offerings within budget and timelines.
Execute the registration system; process registrations; coordinate and supervise on-site registration and maintenance activities.
Develop the “call for abstracts,” manage the evaluation of submissions and implementation of related communications.
Serve as liaison to speakers. Solicit speakers and prepare related communications material, communicate with speakers regarding conference logistics and expectations. Develop, collect, and record required paperwork, presentations, and handouts.
Coordinate the e-poster selection process and display communications and arrangements.
Create, produce, and distribute all print and electronic meeting materials.
Maintain meeting records, such as registrations, speakers, programs, etc.
Collect, prepare, and distribute materials for CME credit approval.
Evaluate and suggest new educational programming, products, and/or learning formats to enhance members’ and attendees’ experiences; implement changes as directed.
Coordinate logistical and promotional elements of industry support for meetings, courses, webinars, and scholarships.
Coordinate management of vendor relationships related to programming and events.
Distribute prospectus materials to industry contacts; coordinate sponsorships and in-kind surgical equipment donations, exhibits, workshops, and branding opportunities to meet or exceed annual budget.
Serve as liaison to exhibitors and industry representatives. Prepare exhibitor and workshop materials, prepare marketing and related communication materials, and communicate with exhibitors/representatives regarding conference logistics.
Maintain records, such as exhibits, workshops, industry representatives, sponsorships, etc.; provide routine reports.
Manage the association's LMS system, post and update content.
Work with leaderships of the Education Committee, Diversity, Equity & Inclusion Committee, Annual Meeting Committee, Open Meeting Committee, Residents’ and other Course Committees, Fellow’s Day and other committees/groups as assigned to implement the groups’ deliverables on time and within budget.
Assist committee leaders with agenda development, arrange and communicate meetings and conference calls, distribute agenda materials and write appropriate reports.
Conduct other duties as needed or assigned.
Provide administrative support as requested to facilitate projects and activities within the association.
Complies with all safety policies and practices of the organization and all safety standards associated with this position, including the use of personal protective equipment.
QUALIFICATIONS:
Undergraduate degree or equivalent work experience.
3-5 years of association management experience.
Proficient in Microsoft Office.
Excellent member service mentality and delivery;
Effective verbal and written communications;
Strong organization and interpersonal skills.
Ability to think proactively and creatively.
Must excel in a fast-paced, team-oriented environment.
Cooperative, supportive, and “can do” attitude is crucial to success.
Integrity and credibility with leaders, members, vendors, and staff.
Experience with Member Clicks or similar database, registration system and LMS system desired.
