The primary goal of the GRCVB Convention Sales Department is to promote Raleigh/Wake County as a convention and meetings destination, establishing a strong regional, national and international presence in the meetings industry, thus initiating direct economic impact by increasing room-night production for our area hotel partners. Duties include but are not limited to:
A broad range of administrative duties to support the convention sales team to include but not limited to preparing formal sales proposals and distributing as specified by team, specific reporting duties and project management.
Become proficient in the Customer Relationship Management (CRM) and other destination digital platforms deployed by the GRCVB.
Prepare welcome letters and packets for client site visits while delivering to appropriate hotels prior to client’s arrival. This could include welcome materials production, errands, deliveries, and related tasks.
Assist with the facilitation, planning, preparation, and participation of both in-bound and outbound client events.
Coordinate tradeshow participation for the sales team, including registration, shipping of collateral, promotional items, and tradeshow booth and pre and post correspondence.
Enter and distribute sales leads, updates, memos as requested by sales team.
Assist in the pre-qualifying of prospective meeting planners and contacts on behalf of sales team by researching accounts using the specific in-house digital tools or other search and database sources.
Assist sales managers with group behavioral profiles for existing and prospective clients; includes collecting, entering and processing profile data and generating reports for use by sales and services teams and group marketing manager.
Handle inquiry calls and communication and assign to the appropriate sales team member.
Help prepare end of month report for GRCVB Economic Development and Tourism Report. Collect and complete Tourism Talk (weekly newsletter) information each week.
Assist with coordination and take minutes of the weekly sales meeting and joint sales meeting and occasional partner meetings.
Assist in the training of seasonal interns.
Maintain inventory of sales promotional items.
Job related training and experience:
General working knowledge of CVB and convention meetings industries preferred
Education or experience in the tourism industry preferred
Existing or developing knowledge of the GRCVB website (visitRaleigh.com)
Advanced computer/typing skills, basic HTML skills, and advanced proficiency required with Microsoft Word, Outlook, Excel, and PowerPoint
Ability to work well in a fast-paced environment
Must be able to work collaboratively with all colleagues
Enthusiastic team player, but also capable of working independently
Strong time, staff, and client management skills
Superior organizational skills, strong attention to detail, and ability to prioritize and manage multiple tasks
Excellent verbal, presentation, phone, and virtual communication skills
Knowledge of reading maps, directories, and routes to better inform visitors
It is the job of all GRCVB employees as well as the sales coordinator to keep up to date on information about our partners’ new and current, conventions/conferences, meetings, staff information, and other written materials pertinent to performance of the role
As the position requires use of Visit Raleigh’s company vehicle and/ or personal vehicle, candidates must have a valid NC driver’s license (mileage reimbursement is given for personal vehicle use for approved business purposes)
Ability to lift 15-35 lbs
Additional Salary Information: Low $40Ks commensurate with experience
