We have an opportunity at our corporate offices in Chicago for a PS2 Project Administrator on our Professional Satisfaction/Practice Sustainability team. As a PS2 Project Administrator you will provide project management for successful development, and management of business unit research projects and House of Delegates business. You will also support PS2 Research and Policy Manager in developing and implementing research project plans, managing and tracking multiple steps and key junctures in collaborative research efforts, and tracking and managing delegation and implementation of policy implementations.
RESPONSIBILITIES:
Project Administration/Management
- Create and maintain research project plans, report status, track and resolve study participant issues and work with manager to ensure proper response and follow-up
- Create detailed timelines, ensuring proper sequencing of activities and resources to meet required deadlines
- Meet regularly with manager and staff to ensure activities of external collaborators are well aligned
Provide service and support to external collaborators to facilitate the implementation of the project goals and deliverables - Create written materials and presentations as needed for research-related meetings and summits
- Maintain multiple sources of tracking for business unit research and publications
- Ensure deliverables are on-time, within budget and meet quality expectations throughout implementation; proactively identify risks and issues
- Work with manager to implement, coordinate and oversee assignments/milestones and execution in accordance with approved project plan
House of Delegates Coordination and Internal Collaboration
- Receive, track, and manage resolutions from House of Delegates office prior to Annual and Interim meetings
- Consult with work streams and across AMA business units on assignment implementation, reporting back to leadership and the Board of Trustees on a regular basis
- Research and write reports and work with digital content performance data collection and analysis as needed
Contracts, RFPs, Authorship Forms
- Contribute to the development and implementation of research grant agreements and collaborative research agreements contracts, and development of RFPs for research proposals
- Facilitate and track staff authorship responsibility forms and related publications
- Provide oversight of the work outlined for active contracts
- Collaborate with other departments as designated to ensure comprehensive management of deliverables and their timely completion

REQUIREMENTS:
- Bachelor’s degree required
- Minimum 3 years project management experience managing mid-size projects with multiple stakeholders required; PMP Certification a plus
- Experience with project management tools (such as Smartsheet, Workfront, Asana, Excel) and communication tools (such as PowerPoint, Teams, Zoom) preferred
- Experience with Google Analytics preferred
- Experience in research preferred
- Experience working in a healthcare environment preferred
- Demonstrated ability to effectively manage and execute multiple, concurrent projects, prioritize work, assignments and maintain a strict budget; ability to handle ambiguity and adapt effectively to changing circumstances
- Strong strategic, and critical thinking skills required; experience with business analysis, documentation and process flow documents preferred
- Excellent written and verbal communication and presentation skills, with proven ability to build and manage relationships and tailor communication style to different audiences and various levels of stakeholder
- Minimal travel required
