We are seeking an enthusiastic, mission-driven and experienced Senior Membership Coordinator who will thrive in a challenging and dynamic work environment. This position will play a key role in building and conveying the value of EWA to our members; maintaining membership records; identifying and cultivating new members; and developing marketing campaigns for our programs and resources.
This position will work with a non-profit association client in a fast-paced, customer-focused work environment. The individual must possess the following strengths: be detail organized, provide excellent customer services to members, be successful in managing many different projects, and possess excellent written and oral communication skills. Additionally, they should excel at learning current and emerging technologies, be a strong project manager, and be articulate and efficient. A successful candidate will have an excellent work ethic and the ability to work independently as well as on a team. The position requires a flexible and service-oriented individual with strong computer and people skills with the ability to:

Respond to a variety of volunteer, member and non-member requests, inquiries and/or issues by phone and multiple email accounts to ensure a positive experience with the association.
Take initiative and leadership on projects for the association.
Work closely and successfully with volunteers with different personalities and work styles.
Lead and implement member recruitment, retention, engagement, communications strategies, and program management.
Membership Responsibilities:
Serve as the main contact person for all member and non-member inquiries.
Responsible for increasing the number of members by promoting membership, the association, education, programs, and member benefits.
Work closely with other staff to continually inform members of services and benefits of membership; assist with the execution of email and other marketing efforts.
Lead and implement the organization’s member recruitment and retention programs, including new member welcome outreach.
Launch yearly membership dues renewal process and work with the team to update the website.
Issue annual renewal notices to members, develop renewal schedule and manage process, follow up as needed, process dues orders, and distribute reminders. Implement dropping non-paying members, distribute exit survey, and develop ongoing outreach to increase member retention. Maintain member data system to ensure accuracy and completeness of member information. Manage, update, and program the membership database. Troubleshoot as needed.
Be familiar with the association’s programs and policies in order to assist members and non-members.
Respond to membership inquiries, including assisting members with the online Member Center and how to log in, reset passwords, and access resources and programs. Provide and enable a positive membership experience.
Lead efforts to convert student members to recent graduate members. Work with the staff team to support membership efforts in Latin America.
Assist in answering the phone lines and directing calls.
Pull complicated membership reports; merge, sort, and collate data; and distribute on time.
Respond to and oversee requests for merchandise purchases; mail, process, and bill as needed.
Represent the association at events and attend Veterinary Conferences (2-3) and one (1) additional conference per year to promote membership, market programs and products, obtain leads to contact, and follow up with leads.
Programs:
Serve as staff liaison for one of the association’s Committees. Create agenda, coordinate meeting date, attend meetings, take minutes, share updates and feedback as appropriate, and follow up on or implement action items.
Review, process, and approve applications for association’s ‘signature program.’ Follow up on missing items and reach out to Committee with any questions.
Work with the Committee and the CEO to ensure the program implements current standards, and lead discussions to increase utilization, initiate campaigns and enhance marketing.
Spearhead the increase of sign-ups for the program, assist members with questions and guide them through the process, and determine and implement ways to make it more user-friendly.
Lead the association’s three educational Certificate Programs including managing sponsor and group discounts, answering questions, promoting utilization, and creating in-depth bi-weekly reports for sponsor.
General:
Process and record all association payments
Manage the approval process for all accounts payable requests including creating AP approval form, initiating treasurer approval, following up as needed, and create invoices when necessary.
Process sponsor payments and update tracking.
Provide quarterly staff reports, or more as needed, for the board of directors.
Perform additional duties as assigned by the CEO.
Requirements:
Minimum of three years working experience in association management. Experience with membership management and volunteers is a plus.
Demonstrated ability to manage and maintain data with accuracy and thoroughness.
Candidate must be able to travel up to three times per year.
Excellent computer and technology knowledge; proficient with Microsoft Office Suite.
Essential Skills:
Demonstrated experience in member management; use of a variety of AMS/CMS (membership database). Experience with Your Membership is preferred.
Ability to think strategically, anticipating future developments and planning accordingly; proactively identify issues and generate recommendations.
Superior organizational skills and attention to detail; ability to handle multiple tasks simultaneously and balance competing priorities; experience in planning multi-step projects and reaching milestones on time without sacrificing accuracy and quality.
