The purpose of this job is to serve our members, customers, and co-workers.
This position works with the Learn Management Team to support key operational and project management functions for the in-person and virtual program portfolio. Specifically, this role will be the primary individual responsible for managing the day-to-day implementation, staff training, and SOPs of systems and software to support programming. Additionally, this role will be responsible for entering events into the AMS to enable registration.
ACHE is a hybrid work environment, requiring 2 days per week in our Chicago loop office.
Program Systems and Software 40% of Time
Develops and maintains processes that assist staff to manage virtual and on demand programs in the Learning Management System (LMS).
Conducts LMS training for new staff and educates existing staff on new features and/or process changes.
Works closely with the Learning Management System provider to update the site design and navigation on an ongoing basis.
Serves as project manager for the event management software.
Provides operational support for ACHE’s proposal/scholarship submission system vendor; documents processes in SOPs, and trains staff. Serves as primary point of contact.
Provides operational support for ACHE’s program evaluation system; documents processes in SOPs, and trains staff. Serves as primary point of contact.
Congress Operations 30% of Time
Enters event in the AMS to enable registration, reviews for accuracy, and leads user acceptance testing efforts. Maintains SOP and business rules documentation.
Supports other Congress operational tasks as assigned.
Cluster Operations 30% of Time
Enters events in the AMS and reviews for accuracy. Maintains SOP.
Serves as project manager for the events; develops a project plan for each event and coordinates key staff from content, meeting planning, office services, and customer service teams.
KNOWLEDGE AND SKILL REQUIREMENTS
Bachelor’s degree in education, instructional design, or related field. Master’s degree is preferred.
Minimum of three years of experience in association management, education, or a closely related field.
Strong project management expertise, with particular experience in a matrixed environment, setting objectives and building consensus across functional teams.
Proficient in common association software/systems, including AMS, evaluation software, and proposal/event management software. Strong technical acumen and ability to troubleshoot and accurately document issues as needed.
Proficient in Learning Management Systems; experience in course design preferred.
Proficient in the Microsoft Office Suite.
Experience creating and maintaining SOPs, as well as training other staff.
Must be well-organized and detail-oriented; able to work independently and make sound decisions in uncertain situations.
Strong written and verbal communication skills; able to communicate knowledge and concepts clearly and diplomatically, as well as tailor communications to a variety of stakeholders and situations.
Strong data analysis skills.
Regular and predictable attendance.
Displays a strong team and customer service orientation.
