The Manager of Facility Operations fosters a service oriented, reliability-centered maintenance culture with oversight of ASGE’s building, land, property, in addition to coordination of physical event setup during a variety of meetings. This position is critical to providing a building that when ASGE members, donors to our building and customers enter, they have a “WOW experience”, knowing that attention to every physical detail leaves them with delight and amazement that the physical environment of ASGE exceeded expectations. Collaboration with other department leaders throughout the organization to develop plans and budgets for engineering and maintenance of various building and physical equipment goals is critical. As an expert multitasker with impeccable attention to detail, this role foresees risks and anticipate needs. Oversees the overall health, reliability, and life cycle management for all the site commodities (various building and training equipment, lighting, power distribution, backup generators, fire suppression and notification systems, suction machine, filtration systems, compressors, dock doors, HVAC, key fob access and security system). Establishes and adheres to building maintenance guidelines, validating the quality of work performed by external contractors or internal staffing for repairs or projects. Will oversee work and training for one staff member who provides general maintenance support, serving as a mentor and guide by prioritizing projects. Maintaining positive working relationships across all levels of the organization equates to the success of the role and responsibilities of this position.
Oversight of the Building/Property Maintenance – Comprehensive responsibility for provision of building and property maintenance, operation, and preventive services. This includes contract/adjunct and vendor services management.
Maintenance Staff Oversight – Oversight of the Building Maintenance staff whose responsibility includes general upkeep and preventative maintenance of the facility and property.
Contract Services Management – Secure and maintain contracts for any outsourced services which include security monitoring, office cleaning, landscaping/snow removal, plumbing, HVAC, electrical, painting, construction, and signage.
Regulatory Compliance – Ensure organizational adherence to village codes (security, fire alarm, etc.) by working with individual departments within the municipality. Establish green, environmental and performance goals based in part, upon LEED certification requirements.
Systems Testing – Determine maintenance and testing schedule and coordinate testing for internal building components (e.g., air/heating, fire suppressions system, alarm, elevator
Facility Event Management – Coordinates and assures physical room setup and support provided for various events.
Coordination of outside services, vendors, deliveries/shipments, and equipment as needed.
Security/Building Safety – Seeking input across all departments throughout ASGE, review annually and make recommendations on facility safety and security systems guidelines and procedures.
Implement key card system including operation of system software, creating new key cards, and keeping additional cards in stock. Administer the distribution of staff keys and train employees on safety and security procedures
Assists in preparing building maintenance budgets and processes invoices.
Very service orientated, using a collaborative approach with a variety of clients/customers, both internal and external. Works proactively and professionally to obtain pertinent information to exceed expectations.
Make recommendations for possible solutions to unanticipated situations with projects, managing external contractors and insurance broker related to the physical assets of the building. Being available for any physical building emergencies as needed.
Perform other duties essential to achieving established goals and objectives.
Weekend and evening hours are required as needed, based upon event scheduling within building.

Must be pleasant, organized, diplomatic, prompt, creative and efficient in managing multiple activities and projects.

Strong positive interpersonal skills, with the ability to work effectively with people of varying backgrounds, responsibilities, and skills. There will be regular interaction with our members/physicians, corporate representatives, building donors and senior management.
Technological literacy is required, including proficiency with the Microsoft software suite as well as learning a customized security and operational software.
Professional presentation and demeanor.
Negotiation skills with various external contractors.
Project management with ability to organize tasks and communication project results on a timely basis.
Proactive planning and incorporating creative approaches to coordinating facility maintenance is mandatory.
A minimum of three years of relevant experience (building operations, hotel/facility management), is preferred.
Associates or bachelor’s degree preferred or a minimum of three (3) years equivalent progressive building operations experience.
Supervisory and mentorship experience of staff
Demonstrates exceptional communication skills with proven ability to communicate via telephone, computer, and in person.
Ability to successfully manage multiple concurrent tasks for monthly building maintenance scheduling as well as routinely prioritizing major building projects.
Has knowledge of and is comfortable in learning to keep up to date on various technologies, including Office360, excel, PowerPoint or keynote, word or notes.
Demonstrates past experiences as a multi-tasker in a fast-paced environment.
Ensures exceptional customer service through leadership, communication and follow through with ASGE internal and external
Due to the nature of ASGE’s programs, timing and various committee meetings, weekend and evening related work is required.
Project Management Professional (PMP) certification welcomed
Working Conditions and Other Requirement
In general, work is performed in an office environment. Because of the nature of our business, ASGE employees may be required to perform work off-site (i.e. hotels, conference centers, etc). On occasion, physical exertion (i.e. lifting, carrying, pushing and pulling) may be required to perform the essential job functions. The incumbent may be required to travel locally, within and outside of the continental United States.
