The American Association of Neurological Surgeons (AANS) is seeking a Development Coordinator. This position is responsible for facilitating the development and delivery of NREF research, fellowship and individual giving programs. The Development Coordinator provides grant administration and support for individual giving programs; supports creation and administration of candidate applications for research grants and awards; and provides operational and administrative support for the Foundation and the Corporate Relations. This position also provides key reporting and analytics for Foundation/Corporate Relations (by industry partner and event), manages the database, prepares letters of agreement, and coordinates invoicing and revenue tracking.
Essential Functions:
Develops, coordinates, and implements NREF research grants, awards and fellowship application, submission and review processes. Communicates with key stakeholders throughout the cycle and ensures execution of payments within agreed upon timeframes while providing reconciliation support for grants manager.
Manages set-up in grant management system (OpenWater), association management system (Nimble) database and NREF website for NREF programs, ensuring that all program logistics are included.
Manages all grant portal submissions, including key deadlines. Manages calendar/action grid of grant reporting deadlines; produces high-quality program reports on deadline.
Performs the day-to-day operational responsibilities to ensure smooth execution of administrative duties to support key NREF and Corporate Relations programs and activities.
Responsible for database management (Nimble) of industry contacts (establish naming conventions, coordinate with IT on clean-up/integration of exhibit/sponsor external exhibit management software (A2Z).
Supports the NREF corporate relations program by administering contracts, maintaining rosters, and tracking benefits in conjunction with Senior Director, Industry Relations and Chief Development Officer.
Maintains report specifying funding across the enterprise (AANS, NREF, NPA, JNSPG) by industry partner.
Supports industry grant requests for NREF education and research award programs. Performs ongoing management of approved funds/grants that includes reporting, budget reconciliation, and any outcomes reporting.
In collaboration with meetings team manage shipments for the AANS Annual Meeting, Spine Summit, or other assigned events. Coordinate recognition inventory such as ribbons for key sponsors.
Provides administrative support for assigned committees by developing agenda materials/reports, scheduling meetings, preparing minutes and attending committee meetings as needed.
Coordinate payments and invoices, working with external resources such as exhibit management company (Conventus) and internal resources (such as Finance department) to improve payment processes, troubleshooting with the team as needed.
Establish and maintain Corporate Relations filing system and coordinate department meetings; act as department liaison
Travels to and provides on-site staff support for NREF at the Annual Scientific Meeting along with other meetings or courses if/when needed.
Performs other job-related duties, administrative tasks, and project support as assigned by management.
Qualifications:
College Degree Preferred
Minimum two years of progressive experience in grant administration or program development
Minimum one-year experience budgeting and monitoring expenditures and creating complex reports
Advanced proficiency in Microsoft Office Suite; highly skilled in Excel and PowerPoint required
Organizational skills; strong attention to detail and accuracy
Interpersonal skills – approachable, proven ability to influence, build, and maintain strong relationships at all levels
Cultural competency - experience working in a multi-cultural environment; ability to work with diverse persons, and personalities
Time and priority management able to multitask and work in a fast-paced environment, respect for deadlines
Ability to learn new systems and processes quickly in a fast-paced environment. Occasional evening and weekend work. The amount of travel varies from year to year. On a consistent basis, this role requires at least 3 weeks of travel.
