JOB DESCRIPTION
The Event Planner is responsible for implementing the requirements and executing MRC conference and event functions, as assigned, helping maintain MRC’s reputation for high quality events. This role requires experience in event, meeting, and conference planning, including logistics, vendor management and budget adherence. This role requires detailed planning, organization, and communication with members, sponsors, vendors, and internal cross-departmental teams.
ROLES AND RESPONSIBILITIES
Manage logistics for in-person meetings and conferences as assigned, including but not limited to space plans, vendor selection, audio/visual, food and beverage, signage, sponsorship/exhibit management and fulfillment, registration, mobile app, cross-department coordination, etc.
Project management lead of MRC Virtual Summits, negotiating and contracting sponsors, setting timelines, working with sponsors to ensure fulfillment of deliverables, working with the MRC content team to meet agenda deadlines, working with MRC Marketing team to meet website and marketing goals and deadlines, and all post-event follow up and reporting.
Manage vendors needed for meetings, oversee the contracted vendors from contract until execution.
Adhere to event project timelines, ensuring all deadlines are met and deliverables are completed on schedule.
Successfully use Cvent, Salesforce, and vendor portals to effectively and efficiently track, promote, and communicate to sponsors and attendees.
Monitor respective budget items, managing expenses to approved budget.
Build and track projects, contacts, and communications to ensure successful and timely execution of all associated deliverables.
Troubleshoot issues that arise during the event lifecycle.
QUALIFICATIONS, SKILLS AND EDUCATION REQUIREMENTS
Bachelor's degree in event management or related field or relevant on-the-job experience.
Minimum of 5 years of hands-on event management experience.
Strong analytical skills.
Excellent communication and collaboration abilities.
Exceptional attention to detail in all aspects of event planning, execution, and follow-up.
Ability to adapt to changing circumstances and navigate unforeseen challenges during the planning and execution of events.
Proficient in Microsoft Office applications required, Cvent, and CRM knowledge, Salesforce preferred.
Capable of establishing and maintaining effective working relationships with staff, vendors, and facility users.
Must be able to work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) workdays, and extended numbers of days.
Ability to travel domestically and internationally for on-site event management.
Work Location: Remote(Preference given to GA, OK, PA, TX, WA)
