ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide administrative support to ISPE’s Manager, CEO Office to ensure an organized administrative environment
Provide administrative support to ISPE’s Manager, CEO Office regarding society governance projects. Include, but not limited to Society Strategic Plan refresh, updating Society Governance Structure documentation, as well as Society Bylaws
Under the supervision of the Manager, CEO Office, collect all staff presentations in preparation for International Board, International Executive Committee, Foundation Board, and Foundation Executive Committee meetings
Coordinate and arrange meetings pertaining to both the International and Foundation Boards.
Assist the Manager of the CEO Office with International and Foundation Board meeting preparation, that includes agenda development, pre-read collection, dissemination of all documents to appropriate parties, and at times, provide support of minuting the meeting
Assist with maintenance of the International and Foundation Board records, including but not limited to meeting minutes, pre-reads, presentations, etc
Coordinate internal and external meetings as provided by the Manager of the CEO Office
Meetings include, but not limited to, recurring meetings with Direct Reports to the CEO, All Staff Meetings, Leadership Team (LT) Meetings, Global Pharmaceutical Manufacturing Leadership Forum (GPMLF), miscellaneous board meeting requests, and any other meeting requests from Value Stream Leaders
Create, coordinate, and manage presentations for the monthly All-Staff Meetings. This includes sharing the presentation during the All-Staff call
Assist the Manager of the CEO Office with the creation of monthly LT Meeting agendas.
Collect and distribute pre-reads for monthly LT Meetings
Assist with the administrative duties pertaining to GPMLF. This includes agenda development, membership, and additional requested meetings pertaining to event management
Assist with administrative duties on internal projects on an as-needed basis

JOB REQUIREMENTS
EDUCATION AND WORK EXPERIENCE
BA or BS degree with a strong business, communications or marketing background is preferred
1-3 years of senior executive level assistant support
1-3 years of board support
SKILLS AND KNOWLEDGE
Must be a person of integrity who effectively utilizes discretion regarding proprietary information and confidential matters.
Exemplary organizational skills and attention to detail
Project and prioritization skills to support CEO Office
An enthusiastic, energetic, and highly motivated self-starter
Able to thrive in ambiguous situations
Maintains consistency during times of stress and high workload
Maturity and confidence to work with all levels as well as with outside executives, members, volunteers, and others
Highly proficient in Microsoft Suite; including but not limited to Outlook, MS Teams, Word, Excel, PowerPoint, etc
An understanding of non-profit member focused organizations and a high level of awareness of the value and purpose of membership associations.
Ability to travel both internationally and domestically as needed for conferences, business meetings, and trainings up to 20%
