The American Society for Dermatologic Surgery is an International medical specialty organization with over 6,000 members, a $10.0 million combined budget and 20 staff located in Schamburg, IL ASDS supports its members through educational opportunities, networking forums, mentoring programs, public relations and branding initiatives, leadership activities and advocacy efforts (through the ASDSA).
POSITION TITLE: Accounting Assistant
STATUS: Non-Exempt Part- Time In -person
SUMMARY:
We are currently seeking an Accounting Assistant. This ensures that operations run smoothly each day by providing support to the Accounting and Administrative teams. This position is best suited for a person who enjoys being busy, is able to multi-task while handling interruptions, and who thrives in a role that wears many ‘hats’- specifically in the areas of Accounting and Administration.
ESSENTIAL FUNCTIONS:
Processing all account receivable transactions for the Society; opens and deposits all checks with the bank; processes and data enters all checks and credit card transactions to member records in Access system.
Processes all credit card payments utilizing outside credit card processor.
Support processing of website credit card transactions; membership applications, dues, donations, registrations and product orders.
Provides reports for but not limited to weekly dues and registration reports.
Responsible for the filing and archiving of check and credit card transactions per the ASDS/ASDSA retention policy.
Issues refunds as necessary.
Reconcile meeting registration for ASDS educational programs.
Provides timely reports but not limited to number of registrants, and session counts.
Data entry, electronic and paper filing system, and producing routine correspondences. Understands and implements record retention policy consistently.
Order and track all necessary office supplies for staff and staff kitchen, including managing the maintenance of office equipment.
Processes mail. Sorts and distributes incoming mail. Posts outgoing mail. Replenishes postage meter as needed.
Responsible for the timely maintenance of office equipment. Works in close contact with vendors. Reports problems and ensures equipment is serviced, as needed, in a timely manner. Communicates equipment malfunction to staff.
Serve as a back-up for answering phones and resolving member issues and finding solutions to member’s information needs.
Assist Senior Accountant with special projects.
Performs other tasks as assigned by the CFO.
QUALIFICATIONS:
Minimum of two years’ experience in Accounting Environment
Previous administrative experience
Possess highly accurate data entry skills
Strong customer service skills, formal training preferred
Ability to multi-task and prioritize core duties and responsibilities
Must be highly organized and possess the ability to work independently
Proficient in Excel, QuickBooks, Word and Impexium or similar database systems
Team player with strong interpersonal skills

Employment Details:
This is a part-time position. Compensation is dependent on experience: Vacation and sick paid and 401K eligibility.
