Eligible for annual team bonus of up to 2.5% of base pay
The American Association of Endodontists (AAE) is dedicated to the excellence in the art and science of endodontics and to the highest standard of patient care. The Association inspires its members to pursue professional advancement and personal fulfillment through education, research, advocacy, leadership, communication, and service.
The AAE is currently seeking an Executive Coordinator to join our team. This is a key role providing a high level of administrative support to our Governance and Senior Management functions.
Responsibilities include:
Provide administrative support, including: administering projects; drafting minutes, reports, correspondence and other documents; screening incoming communications and taking initiative to resolve inquiries; coordinating schedules and updating calendars; maintaining records and files; arranging travel; coding credit card statements; maintaining and updating information in the database and online; and general office duties.
Assist the Executive Director with communicating with members and staff.
Responsible for administrative activities relating to Board of Directors activities, such as coordination, collection and distribution of meeting materials and ballots.
Provide staff support to AAE Officers in a variety of areas, including travel arrangements, travel reimbursements, coordinating event invitations, coordinating routine communications with outside organizations in a timely manner.
Maintain committee membership listings in database and online.
Maintain governance and committee-related pages on the website.
Responsible for administrative activities related to staff and executive team meetings.
Assist with projects related to the Annual Meeting; coordinates social, VIP and leadership events relating to the Annual Meeting and other meetings/conferences.

What we seek:
Related Bachelor’s degree preferred.
Minimum of 3 years of related experience in association management or other non-profit organization preferred.
Experience using database software.
Familiarity with the dental industry or non-profits, is highly desirable but not required.
Ensures a professional and positive atmosphere while interacting with members, staff and the public.
Ability to maintain discretion and confidentiality.
Strong communication skills, organization skills, and attention to detail.
Ability to work independently and balance multiple projects simultaneously.
