Initially, this position will require an office presence for onboarding and training, five days a week for a month. Then it will transition to hybrid, with two days a week in the office and the remaining days remote. As a result, only local candidates will be considered for this position.
Salary Range: $55,000 - $58,000, commensurate with experience.
Job Summary
We’re looking for someone to join our team as a Society Coordinator, in support of the Sleep Research Society (SRS). The SRS, a specialty society managed by the AASM, is an organization for scientific investigators who educate and research sleep and circadian science. Their mission is to advance sleep and circadian science to cultivate knowledge and optimize health and well-being. The SRS Department provides comprehensive association management services to the Sleep Research Society and Sleep Research Society Foundation. These services encompass board and committee management, membership management, event management, newsletter and social media communications, SRS journals support, research advocacy support, award process management, and donor management.
The Society Coordinator will coordinate and oversee the day-to-day activities of the Sleep Research Society with other department staff. The ideal candidate is highly organized, capable of handling multiple projects efficiently, takes thorough meeting notes, produces clear and well-structured minutes, and thrives in both team-oriented and independent work settings.
Responsibilities and Duties
Serve as staff liaison to committees and task forces, prepare agendas and supporting materials for conference calls, conduct meetings, write accurate minutes, and complete follow-up as needed
Ensure follow through of committees’ annual calendars with regular updates
Communicate daily with committee members
Prepare and facilitate award programs of the Society, including contract preparation and monitoring
Field phone calls and emails from members and the general public
Oversee the marketing and promotion of society products and events
Collaborate with the meeting department to assist in the planning and promotion of the annual meeting
Provide support for other meetings and courses. May be required to attend and provide support at those meetings and courses.
Coordinate activities for special events e.g. event planning, special guest invitations, and travel arrangements
Develop and disseminate electronic newsletters to society members. Provide content to the Society’s social media.
Maintain and update information on the society’s website regularly
Perform related duties and responsibilities as assigned
5% travel is required with this position for board meetings and society-sponsored events, which includes weekends.
Qualifications and Skills
Minimum one year of association or non-profit experience
Bachelor’s Degree (B.A. or B.S.), will accept a combination of education and prior work experience
Strong organizational and project management skills
Strong written communication skills with an ability to write reports and meeting minutes with clarity and precision
Solid interpersonal acuity and ability to work professionally with a multitude of personalities
Ability to work both independently and collaboratively while interacting professionally with staff and society members with minimal supervision
Working knowledge and understanding of Microsoft Office
Bonus Skills
Experience in developing agendas and related materials for committee meetings
Experience with email software packages and creating surveys/forms
Experience with association management software
Experience with graphics programs
