The Assistant Manager of Education and Training is responsible for the planning, coordination, and execution of ASGE’s education programs (in-person and/or virtual), along with clinical and scientific and video abstracts for the annual Digestive Disease Week (DDW) conference. For those projects that are developed for accredited CME and/or MOC, the incumbent can align programs with compliance standards of the Accreditation Council for Continuing Medical Education (CME) and/or American Board of Internal Medicine (MOC).
The Manager leads the review, selection, and invitation process for faculty in partnership with the Executive Planning, Clinical Symposia, Annual Scientific Program and Video Plenary/World Cup Committees, ASGE leadership, and other contributing education committees. Key responsibilities include overseeing speaker and moderator management, session allocations, faculty agreements, and communications to ensure timely and compliant program delivery. The role also includes evaluating session goals and performance to support continuous program improvement.
Essential Job Functions

Serve as the primary staff liaison and resource to ASGE DDW committees, including the DDW Executive Planning Committee, Annual Scientific Program Planning Committee, Clinical Symposia Committee, and Video Plenary/World Cup Committee, supporting all program content development and review.
Program management and coordination of faculty and speaker management for CME education courses along with special projects ie. ARIA and Customized ARIA programs.
Work directly with the ASGE DDW Secretary/Program Chair, participating in weekly meetings to track progress and ensure all deliverables timelines are met.
Lead coordination across internal teams (leadership, education, Lab staff, moderators, faculty, conference services) and with DDW-Administration to efficiently deliver program components in a high-paced environment while maintaining ACCME compliance and educational effectiveness.
Manage session proposals and abstract submissions through ASGE’s speaker management platforms (Planstone and ScholarOne), overseeing all aspects of the Call for Invited Sessions and Abstract Sessions. The Education Coordinator will enter content manually into the database systems and assist as needed.
Schedule all DDW-related committee meetings and conference calls, preparing agendas, summaries, and supporting documentation.
Coordinate with internal staff to collect and manage pre-recorded theater presentations for integration into ScholarOne and the DDW Mobile App.
Oversee the award process for Video Plenary recipients, including certificate production and related recognition.
Lead planning and on-site management of key DDW programming
Ensure DDW sessions meet or exceed key performance indicators and uphold the ASGE brand through collaboration with internal and external stakeholders.

Work closely with multiple committee chairs, i.e., DDW Program, Executive Planning Clinical Symposia, Annual Scientific Program, Video Plenary/World Cup to manage content, videos, and timelines.
Must be pleasant, diplomatic, prompt, creative and efficient in managing multiple activities and projects.

Conduct multiple Zoom/Teams meetings, facilitating instructions and/or wrap-up meetings internally as well as with committees.
Technological literacy is required, including proficiency with common tools such as Microsoft software suite features and membership, and speaker management software such as IMIS, Scholar One, Planstone, ACCME PARS system or other related platforms, are desirable.
Qualifications
Bachelor’s degree preferred but not required. Relevant experience in continuing medical education (CME), CE program planning, or project management may substitute for formal education.
Minimum of 5 years of experience in a healthcare or medical nonprofit setting, with a focus on managing CME/CE programs, educational projects, or related initiatives.
Industry Knowledge:
3-5 years of experience with the ACCME accreditation standards, criteria, and compliance requirements.
Experience working with physician volunteer subject matter experts.
Technical Skills:
Proficiency with content management or abstract management systems (e.g., ACCME PARS system, Planstone, and ScholarOne).
Ability to manage and manipulate program data and generate reports.
Project Management:
Strong organizational and time management skills; project management experience preferred.
Capable of managing multiple timelines and overlapping planning cycles.
Customer Service:
Commitment to delivering high-level customer service to internal and external stakeholders.
Teamwork & Independence:
Ability to work both independently and collaboratively within cross-functional teams.
Flexibility & Travel:
Willingness to work flexible hours, including evenings and weekends as needed.
Occasional travel required for on-site planning meetings and mandatory attendance at the DDW Annual Meeting.
Certified Healthcare Continuing Education Professional (CHCP)
Project Management Professional (PMP) certification is welcomed.
Working Conditions and Other Requirement
In general, work is performed in an office environment. Because of the nature of our business, ASGE employees may be required to perform work off-site (i.e., hotels, conference centers, etc.). On occasion, physical exertion (i.e., lifting, carrying, pushing, and pulling) may be required to perform the essential job functions. The incumbent may be required to travel on occasion for various professional development or other conferences.
