The American Association of Endodontists (AAE) is dedicated to the excellence in the art and science of endodontic dental specialty and to the highest standard of patient care. The AAE is currently seeking a Meetings Manager to join our team. This is a key supervisory role responsible for planning and executing logistics in support of AAE meetings and other events and activities for meeting rooms, food and beverage, housing, signage, events, and transportation. Liaisons with vendors and internal and external stakeholders on meeting requirements to ensure the success of all AAE meetings and events. In addition, collaborates and supports the development and management of meeting budgets, contract obligations and manages the financial reconciliation process for all invoices for meetings and events. Supervises and mentors Meetings Coordinator daily tasks.
What you’ll do:
Manage logistics for all Association meeting and events including the AAE annual meeting for approximately 4,000+ attendees across several different venues including hotels and convention center.
Assist with meetings and event budget development and forecasts.
Manage and assign meeting rooms for educational programs, committee meetings, general sessions, and any other ancillary events for the AAE annual meeting.
Ensure all meeting vendors are provided accurate, timely, and effective support and manage contract obligations.
Oversee, manage, and execute hands-on workshop programs, including working with volunteers and speakers on equipment requirements, managing inventory and soliciting in-kind equipment donations.
Provide support to the Assistant Executive Director, Meetings and CE on the development and implementation of technology to enhance meetings management performance and efficiencies, track the many details of planning a meeting, onsite responsibilities, and production of committee and board reports.
Supervise and mentor Meetings & CE Coordinator’s daily tasks including oversight of speaker management, registration, committee meeting logistics, shipping logistics, and mobile app development.

What we seek:
Related Bachelor’s degree preferred.
Minimum of 4-5 years of related experience in membership association non-profit meeting planning.
Certified Meeting Professional (CMP) preferred.
Experience with association management systems, event management software, and registration applications is required.
Ability to represent Association with utmost professionalism and high level of customer service.
Demonstrate agility throughout program planning and onsite execution.
Ability to work calmly, professionally and effectively in stressful situations.
Must be organized, detail-oriented, and able to plan to meet deadlines.
Strong project management skills with attention to detail including the ability to coordinate workflow, determine priorities, meet deadlines and effectively balance competing demands. Ability to problem-solve and make on-the-spot decisions.
Excellent oral and written communications skills, including knowledge of editing, proofreading and copy writing.
Ability to work independently and in a team environment.
Ability to mentor, coach, and set priorities for direct report.
Advanced skills with Microsoft Office applications, including Word, Excel and PowerPoint.
