The African Studies Association (ASA) is seeking an Awards & Fellowships Coordinator. The ASA Awards & Fellowships Coordinator is a part-time, fully remote position on a one-year renewable contract. Primary responsibilities include the facilitation of all internally and externally funded awards, honors, and fellowships. Attendance at the Annual Meeting is required to support fellows and awards ceremony logistics onsite. The position averages 20hrs/week, with a higher concentration of hours expected during Fall and Winter months surrounding the Annual Meeting. Benefits include extended paid holidays the week following the Annual Meeting and two weeks during the academic winter break. ASA will also provide a laptop to execute work. This position reports directly to the Executive Director and is an exciting opportunity to learn more about the important role of scholarly societies in higher education.
Responsibilities:
Primary responsibilities include the facilitation of the annual awards and fellowship cycles in their entirety:
Create Calls for ASA fellowships and awards.
Manage fellowship & award application forms on the ASA website.
Create marketing materials to promote fellowships & awards.
Maintain fellowship & award pages on the ASA website including updating winner and committee information.
Manage fellowship & award applications and prepare them for committee review.
Create notification letters for fellowships & awards.
Create press releases for fellowships & awards.
Maintain an updated awards tracker and fellows tracker.
Serve as primary point-of-contact for all fellows and awardees.
Facilitate the collection of bios, headshots, blurbs, and other necessary information for the Program Book.
Support the visa process & travel logistics for fellows with logistics team.
Support fellows onsite at the Annual Meeting.
Facilitate the payments of fellowship & award funds including tracking onsite payments.
Refer to ASA Policies & Procedures to maintain the fellowship & award cycle timeline.
Oversee the creation of award certificates and plaques.
Assist with script and slides for the Awards Ceremony at the Annual Meeting.
Other Responsibilities:
Occasionally research new funding opportunities and/or support new proposals.
Support Annual Meeting planning and execution for fellowships & awards onsite programs.
Support ASA Secretariat with related administration such as letters of invitation, receipts and reimbursements, MyASA memberships & registrations, etc.
Qualifications:
Proactive communication
Highest attention to detail
Ability to work independently in a remote setting
Strong organizational and record keeping skills
Ability to manage multiple projects simultaneously
Proficiency in or willingness to learn Wordpress, Slack, Dropbox
Availability and willingness to travel to the Annual Meeting location annually
Ability to walk an average of 10,000 steps per day onsite.
Grant writing experience preferred
Interest in maintaining the position for multiple years preferred
African studies background or interest preferred
