In this role you will be supporting the organization’s development, membership and programmatic initiatives balancing multiple priorities. Additionally, you will be key in ensuring the accuracy and integrity of member and donor data, facilitating donor and volunteer stewardship and recognition while supporting key programs and awards. With responsibilities spanning from data coordination, fundraising support and project coordination, some of the duties you will be responsible for are as follows:
Membership Data and Donor Management
Maintain accurate donor and membership data records.
Manage donor correspondence including processing gifts and related acknowledgment letters.
Reconciling donations and coordinating administrative tasks and reporting related to fundraising campaigns.
Project Support
Provide administrative support to key initiatives to include our Annual Sharry Awards, Research Fellowship and other initiatives from planning to meeting collaboration and post-event follow-up.
Schedule and provide support for meetings including agenda preparation, note taking and material distribution.
Track project timelines and deliverables, ensure accurate documentation and reporting.
Volunteer Management & Recognition
Coordinate volunteers and provide leadership for each project/initiative.
Communicate with volunteers and other stakeholders to track, manage and ensure milestones are met.
Develop and implement volunteer recognition programs as well as work with communications team on ways to feature volunteers in e-newsletters, social media and ACP’s website.
Finance & Operations
Assist in processing invoices and member reimbursements.
Help with budget tracking and financial reporting.
Assist with managing vendor relationships and that appropriate documents are collected and on file.

What are we looking for?
You have at least three years of experience managing projects, databases, proven superior organizational/administrative skills, are a proactive, self-starter, detail/deadline orientated, enjoy working and communicating with a variety of people with poise and tact. An associate’s degree or an equivalent combination of education and experience is additionally required. You are proficient in Microsoft 365, skilled in working with spreadsheets and mail merges, also have managed files within a cloud-based application like SharePoint or Drop Box. You must have some experience with databases (association based iMIS or other databases), and collaboration applications such as Teams or Slack. Experience working with an association or non-profit organization is also strongly desired.

Job Location: ACP has a hybrid work environment. During the first (90) days of your onboarding, new hires are required to come into the office at least two times per week and afterward, come into the office once a week. The office is located at 6400 Shafer Ct., Rosemont, IL 60018 and a shuttle service is available from the Blue-Line Rosemont El station. Also, you must be able to attend our annual conference and be available to work some evening and weekends as needed. Relocation assistance for out-of-state candidates will not be provided. The candidate must reside within the Chicagoland area due to the need to come into the office. Some travel, about 1-2 trips a year, including our annual conference in October (3-6 nights total). Some evening/weekend work as needed.
