The Certification Board for Diabetes Care and Education (CBDCE) is seeking an Executive and Support Services Specialist. CBDCE is a national certifying body that oversees several certification programs for health professionals who work in the field of diabetes education and care. Over 20,000 individuals currently hold one of the two active certifications offered by the organization.
This position is a vitally important one and is part of the ‘small but mighty’ CBDCE team. This role is a great opportunity to have a significant impact on the success of an organization. The CBDCE national office is located in Schaumburg, IL and we offer the option of a hybrid environment, with 2-3 days working in the office.
Essential Functions: This position supports executive leadership, board and committees through meeting planning and logistics, volunteer support and recognition, policy development and maintenance, drafting committee and board meeting support materials and minutes, and exhibits logistics management.
Duties and Responsibilities:
Arrange and coordinate logistics for all Board, committee, task force meetings and staff functions including creation and distribution of meeting specs for venues, processing and collating proposals, contract negotiation, room reservations for staff and volunteers, A/V coordination, and menu selection including all off-site meals and/or events. Assist volunteers with arranging travel and hotel for all meetings requiring travel.
Serve as staff support for all on-site and virtual Board of Directors meetings, including assisting with preparation of agenda and materials, coordinating and/or shipping supplies as needed, on-site management of logistics, and drafting minutes. Includes two in-person Board meetings per year, at least one of which will require out of state travel.
Manage Board and volunteer records, including maintaining master file and history of board and committee/task force members, managing and updating (as needed) the disclosure and confidentiality processes, and maintaining all rosters and policy documents through the year.
Manage annual volunteer and stakeholder leadership recognition process, including gift and vendor coordination for outgoing Board and committee members, managing extension of certification dates, and communications to all volunteers regarding terms and expectations.
Provide support as needed to the Awards and Professional Development Committees, including board member(s) and officers election activities, assisting with rotation of Committee members, and working with marketing to communicate announcements and recruiting new volunteers.
Work with Marketing Manager to support exhibit activities including coordinating exhibit booth needs, assisting with packing, making freight arrangements, coordinating hotel arrangements, and production of giveaways.
Represent CBDCE at 3-4 out of state events per year, staffing the exhibit booth and answering questions.
Qualification and Requirements:
Minimum of 5 years working in an office setting with customer service experience.
College degree preferred.
Experience in non-profit association or certifying organization a plus.
Experience working with volunteers and/or Boards of Directors highly desirable.
Strong ability to perform independently as well as be a team player.
Strong verbal and written communication skills.
Strong planning and organizational skills.
Exceptional attention to detail.
Ability to multitask and prioritize with multiple assignments and requests.
Computer proficiency in MS Office including at least some working knowledge of MS Word, Excel, PowerPoint, Teams and Outlook, as well as Adobe Acrobat and Zoom.
Ability to travel 4-6 times per year, with potential for more if desired.
Ability to attend weekend meetings and conferences 4-6 times a year, as well as occasional weeknight virtual meetings.

Regular, predictable attendance is required.
