DIRECT SUPERVISOR: Vice President, Member Experience & Governance
SUPERVISORY POSITION
TRAVEL: Up to 10% of travel is required to fulfill job responsibilities which may include evenings/overnight and weekends for the annual meeting (Convergence), and/or staff retreats
POSITION SUMMARY DESCRIPTION:
This position is responsible for the strategic and operational management of the ACR/ARP volunteer programs and governance support activities, with a primary focus on both ACR and ARP Committee on Nominations & Appointments. The role combines oversight of volunteer lifecycle processes—including nominations, onboarding, evaluation, and recognition—with strategic efforts towards improving the volunteer experience across the College. The position serves as a key liaison across departments and platforms, ensuring alignment with organizational standards, ACR and ARP bylaws, policies, and DEI best practices.
DUTIES & RESPONSIBILITIES:
Volunteer Program & Experience Oversight
Serve as staff liaison to both the ACR and ARP Committees on Nominations and Appointments, providing administrative support including meeting coordination, minutes, and general oversight of the volunteer selection processes.
Oversee the full volunteer lifecycle—from concept through implementation—to ensure a positive and impactful experience.
Manage tracking systems for volunteer data to support strategic planning and reporting.
Lead the annual award/plaque ordering process for volunteers rotating off the board or chair positions, in collaboration with ACR Governance staff.
Guide the evolution of nomination and selection practices to incorporate DEI best practices and foster a diverse applicant pool.
Provide oversight of temporary staff managing the intake of volunteer nomination applications.
Lead efforts to enhance the volunteer experience evaluation process.
Manage the development and upkeep of SOPs related to volunteer onboarding and ensure staff are trained in Asana workflows.
Oversee the volunteer evaluation process and recognition initiatives, including the volunteer recognition efforts at ACR Convergence
Work closely with the Specialist, Rheumatology Research Foundation Governance.
Governance & Disclosure Management
Serve as business owner for platforms supporting governance and volunteer management including:
Disclosure and conflict of interest management software
Volunteer application and review software (co-business owner with ARP and ACR Membership and Awards)
TBD – platform for short-term opportunities - this position would also oversee management of short-term opportunities across the College.
Serve as the primary decision-maker and staff point of contact for platforms supporting governance and volunteer management including:
Work closely with vendors to resolve any issues that impact projects.
Approve any deliverables.
Set/ensure milestones are met by vendors.
Ensure accurate and timely disclosure submissions for all nominees during the application process.
Collaboration & Committee Support
Act as primary ARP staff contact to the Marketing & Communications department for committee-related work.
Manage the submission process for committee meeting materials, ensuring alignment with agendas and adherence to deadlines.
Coordinate in-person meeting logistics with the Meeting Services department for the ACR/ARP Committee on Nominations and related groups.
Documentation & Process Improvement
Maintain and update ARP policies and procedures, ensuring alignment with College standards.
Manage Asana workflows for nominations-related processes.
Collaborate with ACR departments and volunteer committees to identify and address gaps in committee and subcommittee competencies as volunteers rotate off.
Resource & Platform Management
Oversee volunteer program platforms and tools, including website content, disclosure and conflict of interest management software, volunteer application and review software, and accounting software.
Manage volunteer-related resources such as handbooks, travel reimbursement forms, stipends, and budgets in collaboration with team members.

Perform other duties as assigned by supervisors or senior leadership to advance organizational goals.
QUALIFICATIONS:
BA/ BS plus five (5) years’ experience in association management, or MS/MA/MBA/JD plus three (3) years’ experience in a related field, or more than eight (8) years’ experience with no post-secondary degree.
Experience in a supervisory role, preferred.
Excellent interpersonal skills with demonstrated ability to work with multi-level staff, volunteers, members, and vendors tactfully and efficiently.
Proactive and detail?oriented with strong problem?solving, writing, proofreading, and presentation skills, and excellent oral communication.
Proactive ability to organize and manage several projects simultaneously and exercise judgment in prioritizing and handling responsibilities.
Demonstrated expertise and success in product management, marketing and the ability to formulate ideas/solutions.
Ability to uphold ethical standards and work effectively in team environments.
Experience working with governance software systems (e.g., OpenWater, Convey, Nimble), and project management systems (e.g., Asana), preferred.
Professional proficiency with Microsoft Office programs including Excel, PowerPoint, Outlook, and Word is required. Web browsing proficiency is also required.
Familiarity with virtual meeting software applications such as Zoom, Microsoft Teams or similar is required.
