Location: Waukesha, WI (Hybrid Work Environment)
The Senior Manager, Educational Operations leads the successful planning, execution, and continuous improvement of ASGCT’s committee-driven educational programming and major virtual and in-person scientific events. This role oversees the operations, workflows, and implementation strategies that bring ASGCT’s scientific and professional development content to life.
The Senior Manager provides leadership, supervision, and workflow oversight for a team of three staff members who support the execution of these scientific and professional development programs—ensuring alignment, timely deliverables, strong internal communication, and consistent quality standards across all projects. This position manages three standing committees and their associated educational portfolios, including the development of Annual Meeting sessions and year-round programming.
This role requires a strong understanding of digital education trends, livestreaming technology, and virtual production best practices. The Senior Manager is the primary point person for all livestream and virtual event setup, oversees virtual platform buildouts, and provides hands-on support for video recording, editing, and technical training for staff and presenters.
Additionally, the Senior Manager serves as project lead for ASGCT’s major non-AM events, like Breakthroughs in CGT conference, Virtual Scientific Summits, and Regional Clinician and Graduate Medical Education Workshops.
Primary Responsibilities
Hybrid, Virtual & In-Person Event Operations
Lead planning, execution, and operational oversight for all hybrid, virtual, in-person, and digital educational events, including several Annual Meeting sessions and non-AM events.
Oversee AV needs, livestream integration, venue coordination, platform buildouts, and all associated production workflows.
Oversee and track Annual Meeting committee-led session proposals in coordination with internal program coordinators, ensuring alignment across committees and proactively identifying and mitigating overlap in topics, speakers, and session scope.
Coordinate cross-team collaboration with Meetings & Events, Marketing & Communications, Publications, Policy & Advocacy, Development, and other internal stakeholders.
Conduct faculty onboarding, technical training, and rehearsal schedules to ensure seamless event delivery.
Create and manage comprehensive project plans, event timelines, and risk-mitigation strategies.
Oversee on-site or live-event logistics to ensure a polished and professional attendee experience.
Produce post-event analytics, evaluation summaries, and reports.
Oversee workflows supporting committee programs, virtual summits and workshops, hybrid and virtual events, webinars, and Annual Meeting sessions.
Ensure quality control, consistency, and compliance.
Team Leadership & Staff Management
Supervise three staff members.
Manage workloads, project assignments, and performance.
Provide coaching, training, and professional development.
Digital Production, Livestreaming & Virtual Platform Oversight
Serve as ASGCT’s primary livestream lead.
Oversee virtual platform buildouts.
Train staff, faculty, and volunteers on all technical workflows.
Support video recording, editing, and digital content production.
Maintain SOPs and production checklists.
LMS Content Bundling & Portfolio Oversight
Provide strategic oversight and leadership for staff responsible for bundling digital content for ASGCT’s Learning Management System (LMS), ensuring alignment with organizational priorities, audience needs, and revenue goals.
Establish and maintain standards, workflows, and quality benchmarks for content bundling, including scientific accuracy, instructional coherence, consistency, and learner experience.
Guide staff in curating, packaging, and sequencing content into cohesive bundles (e.g., scientific, professional development, regulatory) that support defined learning pathways and career stages.
Partner with Instructional Designer and Marketing teams to ensure bundled content is pedagogically sound, clearly positioned, and optimized for discovery and promotion.
Oversee prioritization of bundling initiatives, balancing new content development, legacy content optimization, and time-sensitive programming.
Review and approve bundle concepts, scope, and final deliverables, providing feedback and coaching to ensure continuous improvement and staff skill development.
Ensure bundling strategies support scalability, reusability of content, and long-term program sustainability within the LMS ecosystem.
Cross Department Collaboration
Collaborate with Marketing, Meetings & Events, Policy & Advocacy, Publications, Membership, and Development.
Ensure cohesive planning and execution across all programming.
Committee & Volunteer Management
Serve as staff liaison for three standing committees.
Oversee committee planning, agendas, and year-round programming.
Support committees in identifying year-round programming needs.
Project Management
Create project plans, track timelines, and mitigate risks.
Maintain documentation, run-throughs, and rehearsal schedules.
Data, Reporting & Continuous Improvement
Produce regular reports and dashboards that communicate program progress, trends, and outcomes to internal stakeholders and leadership.
Monitor program performance against defined goals and benchmarks, identifying risks, gaps, and opportunities for optimization.
Track and analyze performance metrics for digital programs, LMS content, and hybrid and in-person programs including registrations, enrollments, completion rates, learner engagement, and evaluation outcomes.
Analyze trends and identify opportunities for enhancements.
Five or more years of related professional experience; three or more years of managerial experience overseeing two or more direct reports.
Scientific fluency strongly preferred
Experience with non-profits, associations, or academic institutions strongly preferred
A deep knowledge of video, online education, and event production
Deep knowledge of educational meeting planning
Experience with a wide range of online/digital platforms and live production software, including but not limited to Zoom Webinar, Vimeo Studio 6, Teams, WebEx, Adobe Connect, Brandlive.
Familiar with video editing software such as Microsoft ClipChamp
Proficiency with project management platforms, such as ClickUp
Strong collaboration and multitasking skills, a close eye for details
Demonstrated ability to manage the technical components of multiple, high-profile events and digital education in a fast-paced environment
Ability to identify and mitigate potential projects risks up front and work toward resolution
Ability to work independently while successfully developing work-flow processes across teams
Comfortable with tight time schedules, managing multiple projects/events with various presenters/subject matter experts, and using/learning different technologies
Exceptional written and verbal communication skills
